HR Assistant / HR Coordinator / HR Executive

Job Summary
We are seeking a proactive and organized HR Assistant / HR Coordinator / HR Executive to support and manage daily human resources operations. The successful candidate will assist with recruitment, employee onboarding, HR administration, employee records management, payroll coordination, and employee engagement initiatives while ensuring compliance with company policies and Malaysian employment regulations.
This role is suitable for candidates with varying levels of HR experience, from entry-level professionals to experienced HR practitioners.
Key Responsibilities
- Support end-to-end recruitment activities, including job postings, resume screening, interview scheduling, and candidate communication.
- Coordinate employee onboarding, orientation, confirmation, transfer, and offboarding processes.
- Maintain accurate employee records, HR databases, and personnel files.
- Prepare employment contracts, HR letters, and other HR documentation.
- Monitor employee attendance, leave, and other HR-related records.
- Assist with payroll preparation by maintaining accurate employee information.
- Respond to employee enquiries regarding HR policies, procedures, and benefits.
- Support performance management, employee engagement, and training initiatives.
- Prepare HR reports, workforce data, and administrative documentation.
- Ensure HR activities comply with company policies and Malaysian employment regulations.
- Coordinate with internal departments to support HR and administrative functions.
- Handle confidential employee information with professionalism and discretion.
- Perform other HR and administrative duties as assigned.
Requirements
- Diploma or Bachelor's degree in Human Resources, Business Administration, Management, Psychology, or a related field.
- Fresh graduates are encouraged to apply. Candidates with relevant HR experience are preferred.
- Strong organizational and administrative skills.
- Excellent communication and interpersonal skills.
- High attention to detail and ability to maintain confidentiality.
- Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint.
- Ability to manage multiple tasks and work effectively in a fast-paced environment.
- Good written and verbal communication skills in English.
Preferred Qualifications
- Experience in recruitment, HR administration, or employee relations is an advantage.
- Familiarity with HR Information Systems (HRIS), payroll systems, or Applicant Tracking Systems (ATS).
- Basic knowledge of Malaysian Employment Act and HR best practices.
- Experience supporting employee engagement or training activities is a plus.
