Job Description

Responsibilities

The SMSF Administrator provides dedicated administrative support to the Australian SMSF team, ensuring the accurate and timely processing of fund administration tasks across the client lifecycle. This is a pure administration role: the position holder does not prepare or review SMSF financial statements, tax returns, or annual compliance workpapers. Instead, the role underpins the workflow that enables Australian-based preparers and reviewers to work efficiently, by managing data collection, lodgement administration, correspondence, and record-keeping for SMSF clients.


Given the volume of direct correspondence with Aquila, Australian trustees, auditors, and regulators involved in this role, strong written English communication skills are essential.


Responsibilities:


Fund Administration & Workflow Support

  • Set up new SMSF client files in the practice management and SMSF administration systems (Class, XPM, FYI and *************).
  • Coordinate the collection, collation, and organisation of fund data required for annual compliance, including bank statements, contribution details, investment statements, and pension documentation.
  • Maintain and update the SMSF compliance calendar and track lodgement due dates.
  • Monitor job status within the practice management system and flag outstanding items or bottlenecks to the Partner and relevant team.


Regulatory & Lodgement Administration

  • Prepare and lodge routine administrative forms with the Australian Taxation Office (ATO) as directed and under supervision.
  • Process member and trustee administrative changes, including new member establishment, trustee changes, and death benefit administration paperwork (administrative processing only, not technical advice).
  • Assist with Transfer Balance Account Report (TBAR) administration, ensuring supporting information is collated and submitted to the reviewing accountant on time.
  • Support the accounting staff with coordination of the annual independent audit process, including collating audit evidence and tracking auditor requests to completion.
  • Download investment documentation from share registries such as Computershare and MUFG.
  • Assist with obtaining property valuations from online providers.


Client & Stakeholder Communication

  • Correspond directly with Australian trustees and third-party advisors via email to request outstanding information and documentation.
  • Draft clear, professional written correspondence, including client letters, emails, and status updates, for review and use by the Australian team.
  • Liaise with external parties including auditors, insurers, and real estate agents on administrative matters.
  • Draft client invoices where required.


Records, Documentation & Systems

  • Maintain accurate and complete electronic client records, including trust deeds, minutes, and statutory registers.
  • Prepare routine trustee resolutions, minutes, and standard documentation using firm templates, for review by accounting staff.
  • Ensure all client files are filed, named, and stored in accordance with firm document management protocols.
  • Support the preparation of standard reports and correspondence for distribution to clients, including annual minimum pension reminders.
  • Undertake ad hoc administrative projects and process improvement tasks as required.


Qualifications

Essential

  • Prior experience in an SMSF, superannuation, or professional services administration role (non-accounting).
  • Excellent written and verbal English communication skills, with the ability to correspond professionally with Australian clients and stakeholders.
  • High level of accuracy and attention to detail when processing data and documentation.
  • Strong organisational skills and the ability to manage multiple deadlines across a portfolio of client files.
  • Sound Microsoft Office competency (Outlook, Word, Excel and PowerPoint).
  • Ability to work independently within a structured workflow and escalate issues appropriately.


Desirable

  • Prior exposure to Class Super, ATO and *************
  • Familiarity with Australian superannuation and SMSF terminology and lodgement cycles.
  • Experience working within an outsourced or offshore delivery model supporting an Australian professional services firm.
