Job Description

Responsibilities

Patient Relations & Customer Service

  • Welcome and attend to patients warmly, ensuring they feel comfortable and well taken care of upon arrival.
  • Respond to patient enquiries promptly, professionally, and courteously across phone, WhatsApp, and other communication platforms.
  • Understand patients’ general concerns and guide them appropriately on appointment arrangements, available services, and product enquiries in a professional, service-oriented manner.
  • Follow up on patient queries and feedback to ensure a positive patient experience and high standard of customer service.
  • Proactively confirm appointments and follow up with patients to reduce no-shows and support better scheduling efficiency.

Appointment Management & Front Desk Operations

  • Manage appointment bookings, rescheduling, and cancellations efficiently to optimise the doctors’ and therapists’ schedules.
  • Answer phone calls and handle front desk enquiries in a clear, professional, and timely manner.
  • Register new patients and maintain accurate patient records in the clinic management system.
  • Ensure all required consent forms, declarations, and documentation are properly completed, signed, and filed.
  • Manage patient check-in and check-out processes smoothly and accurately.

Billing,Administrative & Inventory Support

  • Handle billing, invoicing, payment collection, and cashiering duties accurately.
  • Conduct weekly stock-taking and maintain accurate inventory records.
  • Assist in ensuring the front desk and administrative processes are well organised and up to date.

Clinical & Operational Support

  • Prepare patients for treatment or review sessions when required.
  • Assist doctors with treatment support duties where needed and as appropriate to the role.
  • Support daily clinic operations to ensure a clean, organised, and welcoming environment, including light housekeeping and general upkeep of the reception and waiting areas.
