Job Description

Responsibilities

The Clinic Administrative Officer (CAO) is responsible for supporting the Head of Department, Clinic Services with a smooth running of the clinic reception. The CAO ensures all administrative processes are efficiently and meticulously prepared, attends to enquiries from public, and maintaining the clinic’s inventory and stock.

The responsibilities include and are not limited to:

  • Manage daily clinic operations, including scheduling appointments, communicating with clients, and maintaining accurate and updated records.
  • Support efficient patient flow to maximise care delivery within resource limits.
  • Handle payments, drug inventory, and resource tracking to ensure prudent use of supplies.
  • Updating and maintaining the inventory and preparing monthly reports and stock sheets
  • Liaise with vets, nurses, welfare partners and other external stakeholders to ensure clear communication and service coordination.
  • Maintain compliance with administrative protocols  regulatory requirements, and clinic policies.
  • Assist and support engagement activities (tours, school talks, outreach).
  • Contribute to data collection, reporting, and clinic performance tracking.
  • Foster a supportive environment that upholds the SPCA’s mission and values.
  • Monitoring and maintain all purchase orders for procurement and ensure compliance to all financial guidelines.
  • Managing and registering customers at the clinic reception and handle general enquiries via telephone or in person in a professional manner.
  • Providing timely updates and notifications to adopters of SPCA’s animals.
  • Perform ad-hoc duties as assigned.
  • Provide support for ad-hoc events and SPCA-led initiatives as required

Qualifications and Requirements

  • Excellent communication skills and fluency in written and spoken English.
  • Strong administrative and IT skills.
  • Meticulous and detail oriented.
  • Strong interpersonal skills and excellent customer service delivery.
  • Experience in data entry and database management is an added advantage but not compulsory
  • Passion for animal welfare
  • Experience working with animals or in the animal welfare sector is an advantage but not required.
