Job Description

Responsibilities

Key Responsibilities

  • Coordinate export shipment bookings with customers, overseas agents, shipping lines, co-loaders, trucking companies, and other logistics partners.
  • Plan and monitor shipment schedules, including vessel bookings, ETD/ETA, cargo movements, and delivery milestones to ensure timely execution.
  • Prepare, review, and process export shipping documents, including Bills of Lading (B/L), Shipping Instructions (SI), Commercial Invoices, Packing Lists, Certificates of Origin (COO), Dangerous Goods (DG) Declarations, and other required documentation.
  • Ensure all export documentation complies with customer requirements, carrier regulations, customs requirements, and destination country regulations.
  • Respond promptly to customer, overseas agent, and internal team enquiries by providing accurate shipment status updates and resolving operational issues.
  • Coordinate closely with warehouses, trucking companies, shipping lines, customs brokers, and other service providers to ensure smooth cargo collection, container stuffing, customs clearance, and shipment delivery.
  • Monitor shipment progress proactively and resolve delays, documentation discrepancies, or operational exceptions in a timely manner.
  • Prepare and maintain complete job files, verify vendor invoices and customer billing, and ensure accurate cost allocation and revenue recognition.
  • Liaise with internal departments, including Sales, Customer Service, Finance, and Operations, to ensure seamless execution of shipments.
  • Maintain accurate shipment records, update operational systems, and prepare reports for shipment performance and operational tracking.
  • Ensure compliance with company Standard Operating Procedures (SOPs), international shipping regulations, customs requirements, and quality standards.
  • Build and maintain strong working relationships with customers, overseas partners, shipping lines, and vendors to deliver excellent customer service.
  • Support continuous process improvement initiatives to enhance operational efficiency, service quality, and customer satisfaction.
  • Perform other ad hoc operational and administrative duties assigned by the Operations Manager or Management.

Pay: $2,500.00 - $3,000.00 per month
