Location: Remote, based in the Asia-Pacific region 


Working Hours: Flexible and independent; must remain highly responsive and available for online calls during APAC working hours (9:00 AM – 6:00 PM).

About this role

JADE is seeking a highly organized, proactive, and independent Event Operations Specialist to support the end-to-end operational planning and execution of two milestone events: New York Climate Week and the JADE Internal Event.


Working closely with the Development and Administration (DA) Manager, you will handle critical logistics, manage vendor relationships, coordinate guest communications, and ensure our financial administrative tasks are executed flawlessly. This is a flexible, remote role that allows you to work at your own pace, provided you maintain excellent day-to-day responsiveness and availability for team alignment during standard working hours.


Responsibilities include: 

Event Logistics

  • Provide logistical planning support of two key events in Q3-4 of 2026.
  • Identify and source immediate venues, accommodations, and catering options specifically for these two events.
  • Assess potential venues and vendors to ensure they align with JADE's sustainability expectations and requirements.
  • Coordinate closely with the DA Manager (who will be on-the-ground executing the events) to ensure seamless handoffs.


Vendor Communication

  • Serve as the primary, day-to-day point of contact for the selected venues, accommodations, caterers, and local suppliers for both events.
  • Handle routine communications regarding bookings, menus, setup requirements, and scheduling.


Financial Coordination

  • Collect, track, and upload vendor invoices to JADE's internal systems for team approval.
  • Partner with the DA Manager to ensure immediate vendor payments and contract terms align with JADE's requirements.


Guest Coordination

  • Manage RSVP tracking and coordinate logistics directly with guests, JADE team members, and Advisory Committee members attending the events.
  • Share event schedules, location details, and answer basic attendee inquiries.


Key Qualifications

  • Fluent in English with exceptional written and verbal communication skills.
  • Proven experience in event logistics, administrative coordination, or project support.
  • Extremely organized with the ability to manage tight timelines independently in a fast-paced environment.
  • Ability to work at your own pace while remaining highly responsive and available for alignment calls during APAC business hours (9:00 AM – 6:00 PM) with strong internet connection and ability to have online calls on camera.
  • Reliable, detail-oriented, and operating with high professional integrity.


Project Fee Structure

USD $10,000 flat fee, paid in two installments:

  • 50% ($5,000) within the first 1–2 weeks of the start date
  • 50% ($5,000) upon successful project completion
