Responsibilities

About the role

OneEmpower is hiring a Finance & Admin Manager to manage the finance and administrative operations of our Kuala Lumpur office.

Reporting closely to the Group Finance function in Singapore, this role will be responsible for the day-to-day financial operations of the Malaysian entity, including accounting, reporting, statutory compliance, audit and tax coordination, as well as general office administration.

This is a hands-on role suited to someone who is comfortable managing the full spectrum of local finance activities independently while ensuring alignment with Group policies, reporting requirements and internal controls. The successful candidate will also oversee local administrative matters and coordinate with external auditors, tax agents, corporate service providers, banks, vendors and other relevant parties.

Key ResponsibilitiesFinance & Accounting

  • Manage the day-to-day accounting and finance operations of the Malaysian entity and ensure transactions are accurately and timely recorded.
  • Handle accounts payable and accounts receivable, including invoicing, payment processing, collections and reconciliation of balances.
  • Maintain the general ledger and ensure proper classification and recording of financial transactions.
  • Manage month-end and year-end closing activities, including preparation of schedules, reconciliations and supporting documentation.
  • Prepare monthly financial reports and other management information required by Group Finance.
  • Manage cash flow, bank reconciliations and payment schedules, and ensure sufficient oversight of local banking activities.
  • Monitor expenses, outstanding receivables, payables and other key financial balances, and follow up on outstanding matters.
  • Support budgeting, forecasting and financial analysis as required by Group Finance.
  • Ensure proper maintenance of accounting records and supporting documentation in accordance with Company requirements and applicable regulations.
  • Coordinate annual statutory audits and respond to audit queries, including preparation of schedules and supporting documents.
  • Liaise with tax agents, auditors, corporate service providers, banks and relevant authorities on finance-related matters.
  • Ensure timely compliance with Malaysian accounting, tax and statutory filing requirements, including SST and other applicable regulatory obligations.
  • Support the implementation and continuous improvement of financial controls, processes and procedures.
  • Identify finance-related risks, discrepancies or control issues and escalate them to Group Finance where appropriate.
  • Work closely with Group Finance in Singapore to ensure consistency in accounting treatment, reporting standards, controls and Group processes.

Administration

  • Oversee the day-to-day administrative operations of the Kuala Lumpur office.
  • Manage office-related contracts, records, documentation and administrative requirements.
  • Coordinate with landlords, building management, vendors and service providers on office-related matters.
  • Manage office supplies, facilities, equipment and other general administrative arrangements.
  • Coordinate business travel, accommodation, logistics and meeting arrangements where required.
  • Support the administration of company assets and maintain appropriate records and documentation.
  • Review and coordinate vendor quotations, service agreements and administrative expenses where applicable.
  • Support office projects, events and other operational requirements as needed.
  • Ensure office administration is carried out efficiently and in accordance with Group policies and approval processes.

Requirements

  • Degree in accounting, finance, or a related discipline.
  • At least 5–7 years of relevant finance and accounting experience, with experience independently managing finance operations preferred.
  • Prior experience in a Finance Manager, Assistant Finance Manager, Senior Accountant or similar role would be an advantage.
  • Good working knowledge of Malaysian accounting, tax and statutory requirements.
  • Experience in month-end closing, financial reporting, audit coordination, tax matters and account reconciliations.
  • Experience handling a broad range of finance responsibilities in a small or medium-sized organisation would be advantageous.
  • Strong Excel proficiency, including PivotTables, VLOOKUP/XLOOKUP, SUMIFS and other commonly used financial analysis functions.
  • Familiarity with accounting systems such as FACT ERP.NG or similar ERP/accounting systems is an advantage.
  • Strong attention to detail with good analytical and problem-solving skills.
  • Able to manage multiple priorities independently and follow matters through to completion with minimal supervision.
  • Strong sense of accountability and comfortable working in a hands-on environment.
  • Good communication and stakeholder management skills, with the ability to work closely with Group functions in Singapore and other regional offices.
  • Comfortable liaising independently with auditors, tax agents, banks, vendors and external service providers.
  • Adaptable and proactive, with an interest in improving processes and strengthening financial controls.
  • Proactive in adopting AI, automation and digital tools to improve finance and administrative efficiency.
  • Comfortable working with technology and new systems.

Pay: RM7,000.00 - RM9,000.00 per month
