Job summary

We are looking for a responsible and detail-oriented Project Admin to support our project purchasing, invoice verification and project costing activities. This role is suitable for candidates who are organised, comfortable handling documents and numbers, and willing to learn.

Key responsibilities

• Verify supplier and subcontractor invoices with the relevant internal parties before submitting payment requests.
• Ensure invoices and supporting documents are complete and accurate before payment processing.
• Prepare and issue Purchase Orders (POs) for project materials and other project-related purchases.
• Coordinate with suppliers and internal departments on pricing, quantities, specifications and delivery requirements.
• Maintain proper records of Purchase Orders, invoices, delivery documents and other purchasing documents.
• Update and maintain project costing records based on approved purchases, invoices and actual project expenses.
• Ensure project costs are recorded under the correct project and cost category.
• Assist in monitoring project expenditure and identifying discrepancies between budgeted and actual costs.
• Liaise with the Project, Procurement, Contract and Finance teams on purchasing, invoice verification and costing matters.
• Perform other related duties as assigned by management.

Qualifications & requirements

• Minimum SPM qualification.
• Fresh graduates are welcome to apply.
• Basic knowledge of Microsoft Excel and Microsoft Office.
• Comfortable handling invoices, Purchase Orders, project costing and documentation.
• Good attention to detail and accuracy when working with numbers and records.
• Good communication and coordination skills.
• Responsible, organised and willing to learn.
• Able to work independently and as part of a team.
• Experience in procurement, accounts, project coordination, construction or interior design will be an added advantage, but is not required.
