JOB SUMMARY
We are looking for a hands-on and experienced HR & Admin Assistant Manager / Manager to oversee and manage the full spectrum of Human Resources and Administration functions.
The successful candidate will be responsible for ensuring smooth day-to-day HR operations, including payroll, employee relations, recruitment, attendance and leave management, statutory compliance, performance management, HR policies and general administration.
The ideal candidate should be hands-on, organised, independent, and familiar with HRIS/payroll systems, particularly Info-Tech, with the ability to manage HR matters from operational level through to management level.
KEY RESPONSIBILITIES:
1. Human Resources Management
- Manage the day-to-day HR operations and ensure HR policies and procedures are properly implemented.
- Develop, review and maintain HR policies, procedures, SOPs and employee guidelines.
- Advise management and employees on HR policies, employment matters and relevant legislation.
- Maintain accurate and up-to-date employee records and HR documentation.
- Monitor employee lifecycle processes including onboarding, confirmation, transfers, promotions, disciplinary matters and separation.
2. Payroll & Statutory Compliance
- Manage and coordinate monthly payroll processing accurately and within the required timeline.
- Ensure proper processing of salary, overtime, allowances, deductions, leave, claims and other payroll-related matters.
- Handle statutory contributions and submissions including EPF, SOCSO, EIS, PCB/MTD and HRD Corp, where applicable.
- Ensure compliance with the Employment Act 1955 and other applicable Malaysian employment legislation.
- Liaise with relevant government agencies such as JTK, PERKESO, KWSP, LHDN and HRD Corp when required.
- Prepare payroll reports and other HR-related management reports.
3. HRIS / Info-Tech System Management
- Manage and maintain employee information in the Info-Tech HR / Payroll system.
- Manage attendance, leave, overtime, claims and other HR modules within the system.
- Ensure employee records and HR data are accurately maintained and updated.
- Troubleshoot basic system issues and liaise with the software provider when necessary.
- Generate HR and payroll reports for management review.
- Recommend improvements to HR systems and processes to improve efficiency and accuracy.
4. Recruitment & Talent Management
- Handle the full recruitment cycle from manpower requisition, job posting, candidate screening, interviews, selection and offer preparation.
- Coordinate onboarding and orientation programmes for new employees.
- Work closely with HODs to understand manpower requirements and recruitment needs.
- Monitor probation and confirmation processes.
- Maintain recruitment records and manpower reports.
5. Attendance, Leave & Employee Benefits
- Monitor employee attendance, punctuality, overtime and leave records.
- Ensure proper administration of annual leave, medical leave, hospitalisation leave and other statutory/company leave.
- Manage employee benefits, medical panels, insurance and other welfare programmes.
- Address employee enquiries relating to HR policies, benefits, leave and payroll.
6. Performance Management
- Coordinate employee performance appraisal and KPI processes.
- Assist HODs in setting, monitoring and reviewing employee KPIs.
- Monitor probationary employee performance and confirmation processes.
- Provide HR advice to management regarding performance improvement and employee development.
7. Employee Relations & Industrial Relations
- Handle employee grievances, complaints and workplace concerns professionally.
- Assist management in disciplinary and misconduct cases, including investigation, show-cause letters and related documentation.
- Ensure proper documentation and fair HR practices in employee-related cases.
- Provide guidance to management on employment and industrial relations matters.
8. Training & Development
- Identify training needs in consultation with HODs and management.
- Coordinate internal and external training programmes.
- Manage HRD Corp-related training matters and claims where applicable.
- Maintain training records and employee development documentation.
9. Administration
- Oversee general office administration and ensure smooth daily operations.
- Manage HR and administrative documentation, filing and records.
- Coordinate company facilities, office supplies, employee-related administrative matters and vendors where required.
- Assist management with company events, employee activities and other administrative projects.
10. Management Reporting & HR Projects
- Prepare regular HR reports, manpower reports, payroll summaries and other management reports.
- Analyse HR data and provide recommendations to management.
- Assist in HR audits and compliance reviews.
- Lead or participate in HR improvement projects, system implementation and process improvements.
- Undertake other HR and administrative duties assigned by Management.
REQUIREMENTS
- Diploma / Bachelor's Degree in Human Resources Management, Business Administration or a related field.
- Minimum 3–5 years of relevant HR experience for Assistant Manager level; candidates with stronger experience may be considered for Manager level.
- Strong working knowledge of Malaysian employment laws and HR practices.
- Hands-on experience with Info-Tech HR / Payroll software is highly preferred.
- Experience in payroll processing and statutory submissions.
- Good understanding of attendance, leave, payroll, recruitment, employee relations and performance management.
- Strong communication, interpersonal and problem-solving skills.
- Able to work independently with minimal supervision.
- Mature, responsible, organised and able to maintain confidentiality.
- Good computer skills, particularly Microsoft Excel and HR systems.
- Candidates who have experience managing HR operations across multiple departments or companies will have an added advantage.
- Must be willing to work in Klang, Selangor.

Pay: RM4,000.00 - RM6,000.00 per month
