Job Responsibilities
1. Contingency Worker Hiring & Onboarding
- Coordinate with recruitment agencies on candidate sourcing and application submissions.
- Conduct initial screening of candidate profiles before sharing with hiring managers.
- Support interview scheduling and coordination between managers and agencies.
- Communicate hiring decisions to agencies and coordinate offer confirmation.
- Ensure onboarding documents and candidate information are received on time.
- Support creation and update of employee profiles in HR systems.
- Coordinate onboarding schedules with managers and agencies.
- Prepare onboarding materials and support first-day onboarding arrangements.
2. Contingency Worker Administration
- Maintain and update records of all contingency workers.
- Monitor CW attendance, contract status, and documentation.
- Coordinate contract extensions, replacements, and termination processes.
- Support managers in handling CW-related issues such as performance, attendance, or disciplinary matters.
- Liaise with agencies to resolve operational matters related to CW management.
3. Reporting & Data Management
- Prepare and maintain CW reports including headcount, attendance, and performance tracking.
- Verify data received from agencies to ensure accuracy and completeness.
- Maintain proper documentation and reporting records in shared folders or HR systems.
4. Training Coordination
- Coordinate training requests for contingency workers based on department needs.
- Arrange training schedules and communicate details with agencies and supervisors.
5. Invoice & Billing Coordination
- Support the monthly invoice verification process with agencies.
- Coordinate invoice approvals with hiring managers.
- Liaise with Finance to ensure accurate billing and timely payment processing. Other duties as assigned
Role related knowledge, education & experience
- Diploma or Degree in Human Resources, Business Administration, or related field.
- 1–3 years of experience in HR administration, recruitment coordination, or workforce management.
- Experience working with recruitment agencies or contract workforce management is an advantage.
Social & methodological skills
- Strong coordination and communication skills.
- Good administrative and documentation management ability.
- Proficiency in Microsoft Office (Excel, Teams, SharePoint).
- Ability to manage multiple stakeholders and tasks simultaneously.
- Attention to detail and strong organizational skills.
Pay: RM3,500.00 per month
