Note: This is a 12-months direct contract, part-time, 2–3 days per week. Minimum 1 day per week onsite is compulsory.

The Assistant, Business Operations & Administration provides day-to-day administrative and office support to the Steering Committee and the wider business.

The role delivers clearly assigned tasks across executive calendar coordination, travel and expense administration, Singapore office pantry and document shipping, and invoice and purchase order processing.

This role reports to the Chief of Staff.

What You'll Do:

  • Manage Steering Committee calendars, including scheduling, rescheduling, meeting room and video conferencing setup, and timely circulation of agendas and meeting materials.
  • Coordinate Steering Committee travel and expenses, aligned with changes within policy.
  • Prepare, submit, and track Steering Committee expense claims with complete supporting receipts and documentation, and follow up on reimbursement status.
  • Manage pantry operations for the Singapore office, replenishment ordering, delivery receipt, and supplier follow-up.
  • Manage inbound and outbound document shipping and courier arrangements for the Singapore office, maintaining dispatch and receipt records, including for confidential documents.
  • Raise purchase orders and process business invoices, matching invoices to POs and delivery evidence, routing them for approval, and tracking status with Finance and Procurement.
  • Maintain administrative records and trackers — travel and expense files, courier logs, pantry and supplies logs, PO and invoice trackers — accurately and up to date.
  • Escalate scheduling conflicts, policy exceptions, missing approvals, vendor delays, and document-handling issues promptly and with clear context.
  • Provide other administrative support to the business as instructed by the Chief of Staff.

Who You Are:

  • Prior experience in an administrative, executive support, office operations, or business support role; experience supporting senior stakeholders is an advantage.
  • Working knowledge of calendar and meeting coordination across multiple senior executives' diaries and time zones.
  • Working knowledge of purchase order and invoice processing, including matching invoices to POs and routing items for approval.
  • Proficiency with Microsoft 365 (calendar, email, documents, spreadsheets) and comfort learning internal finance, procurement, and workplace systems.
  • Strong administrative accuracy and record-keeping discipline, with consistent attention to detail under recurring deadlines.
  • Ability to follow standard operating procedures and internal controls, and to recognise when an item is an exception requiring escalation.
  • Discretion and sound judgment in handling confidential executive, personnel, and commercial information.
  • Clear written and verbal communication when coordinating with executives, internal requestors, and external vendors.
  • Ability to work reliably on a part-time schedule of 2–3 days per week, including a minimum of one compulsory day onsite in the Singapore office, and to manage handovers around non-working days.
