Responsibilities
Role Overview:
We are looking for a responsible, well-organised, presentable and proactive Personal Assistant (PA) to work closely with the Director. The role covers schedule and appointments management, business coordination, selected personal assistance, driving, fashion and event support, and local or overseas travel. Strong communication, computer literacy, confidentiality and adaptability are essential.
Director & Personal Assistance
Manage the Director's daily schedule, meetings, appointments, commitments and reminders.
Arrange booking transportation, reservations and travel requirements.
Assist with appropriate personal and business-related errands.
Communicate and coordinate professionally with clients, partners, vendors and team members.
Handle confidential information and documents with discretion.
Driving & Transportation
Accompany the Director to meetings, appointments, events and business engagements.
Drive the Director when required and plan routes to ensure timely arrival.
Assist with luggage, garments, event materials and other workrelated items.
Valid Malaysian driving licence and confident driving ability required.
Fashion & Event Support
Assist with fashion activities, portrait/photoshoot project, launches and events.
Coordinate with designers, photographers, models, makeup artists, vendors, venues and clients.
Assist with wardrobe, accessories, production items and event materials.
Provide on-site support and handle reasonable last-minute arrangements.
Travel & Overseas Support
Arrange flights, hotels, local transportation and intineraries.
Accompany the Director on local and overseas business trip when required.
Assist with schedules and logistics throughout business trips.
Be comfortable with occasional short notice travel and intinerary changes.
Administration & Computer Skills
Good computer literacy and ability to handle daily administrative work digitally.
Proficient in Microsoft Word, Excel and Powerpoint or equivalent office applications.
Manage emails, documents, schedules, online bookings and basic digital file organisation.
Comfortable using Whatsapp and other communication platforms for business coordination.
Prepare basic correspondence, schedules, presentations, reports and documents when required.
Candidate Requirements
Preferably 1-3 years of experience as a Personal Assistant, Executive Assistant, Secretary or similar role.
Experience supporting a Director, CEO, business owner or senior management is an advantage.
Proficient in Mandarin, English and Bahasa Malaysia, both spoken and written.
Strong communication and interpersonal skills; able to communicate professionally with clients, business partners, vendors and internal teams.
Ability to draft and respond to basic business messages and correspondence independently.
Good computer literacy and proficiency in common office applications.
Valid Malaysian driving licence and confident driving ability.
Presentable, professional, punctual and detail-oriented.
Organised, proactive and able to multitask and manage last-minute changes.
Able to work independently with minimum supervision.
High level of confidentiality, integrity, trustworthiness and professional discretion.
Comfortable working in fashion and event management and travelling locally and overseas when required.
Probation & Salary
Probation Period: 3 months
Probation Salary : RM4,000 - RM4,500 per month
Salary employment terms will be reviewed upon successful completion of the probation period. No post-confirmation salary amount is predetermined in this recruitment package.
Working Schedule & Additional Hours
The normal working schedule and working days will be stated in the employment offer. Due to the nature of Director's schedule, fashion activities, events and travels, occasional work outside normal office hours, on weekends or public holidays may be required. Any applicable overtime, replacement leave or other arrangements will be handled according to the employment terms, company policy and applicable law.
Company-Paid Business Expenses
All reasonable and authorised expenses incurred by the Personal Assistant while carrying out duties on behalf of the Director or Company will be fully borne or reimbursed by the Company. These expenses are separated from the Persoanl Assistant salary.
Airfare and approved business travel tickets.
Hotel and approved accommondation
Local transportation and authorised e-hailing/taxi expenses.
Petrol, toll and parking incurred for authorised work duties.
Meals reasonably incurred during authorised business travel or assignments.
Event, production and other approved work-related purchases.
Other reasonable and authorised expenses directly related to work duties.
Relevant receipts or supporting documents should be retained and submitted for company records and reimbursement where applicable.
Probation Performance Review
Communication - Clear, professional communication in Mandarin, English & Bahasa Malaysia.
Computer & administration - Competent with documents, emails, schedules bookings, files and common office software.
Reliability & punctuality - Consistent attendance, time management and follow-through.
Organsation - Accurate scheduling, reminders, prioritisation and task tracking.
Confidentiality - Strong discretion regarding personal, business, client and travel information.
Driving & Travel - Safe, confident driving and reliable travel/logistic support.
Problem Solving - Calm and practical response to sudden changes and competing priorities.
Professional compatibility - Initiative, judgment, boundaries and ability to support the Director effectively.
Confidentiality & Professional Boundaries
The Personal Assistant may have access to the Director's private schedule, personal matters, business information, clients and travel arrangements. Strict confidentiality and professional boundaries are required at all times.
The successful candidate will be required to sign a Confidentiality / Non-Disclosure Agreement (NDA).
Unauthorised disclosure, photography, recording or sharing of private, client or business information is prohibited.
Work-related or private information must not be posted on social media without prior authorisation.
Personal information, addresses, schedules, travel plans, client details and business documents must be handled securely.
Confidentiality obligations should continue after employment ends, subject to the employment agreement and applicable law.
Suggested Interview Checks
Test spoken communication in Mandarin, English and Bahasa Malaysia.
Ask the candidate to draft a short English business WhatsApp/email reply.
Confirm practical ability with Word, Excel, PowerPoint, email, calendar and online bookings.
Verify driving licence and discuss driving confidence and experience.
Assess willingness and availability for local/overseas travel.
Use scenario questions to assess confidentiality, prioritisation and last-minute problem solving.
Confirm current salary expectations, notice period and earliest available start date.
Conduct reference/background checks before final appointment where appropriate.
