Job Description

Responsibilities

Key Responsibilities

1. Accounts & Finance

  • Handle daily accounting and finance-related activities.
  • Prepare and issue invoices, quotations, receipts, payment vouchers, and other financial documents.
  • Maintain and update Accounts Payable (AP) and Accounts Receivable (AR) records.
  • Monitor customer payments and follow up on outstanding invoices.
  • Prepare payment requests and assist with supplier payment processing.
  • Perform basic bank reconciliation and maintain accurate accounting records.
  • Assist in preparing monthly financial reports and supporting documents.
  • Assist with e-Invoice submission and related documentation.
  • Liaise with customers and suppliers regarding invoices, payments, and account-related matters.
  • Assist external accountants and auditors with audit and tax-related matters.

2. Administration

  • Manage daily office administrative activities and ensure smooth office operations.
  • Handle incoming and outgoing emails, correspondence, and documents.
  • Maintain proper physical and digital filing systems.
  • Prepare letters, reports, forms, and other administrative documents.
  • Monitor and manage office supplies and stationery.
  • Coordinate with suppliers and service providers for office-related matters.
  • Arrange meetings, appointments, and other office activities when required.
  • Maintain company records and ensure documents are properly organized.
  • Support management and other departments with administrative tasks.
  • Perform other duties as assigned by the management.

3. Human Resources (HR)

  • Assist with the full recruitment process, including job postings, screening, interview arrangements, and onboarding.
  • Prepare employment-related documents such as offer letters, employment contracts, confirmation letters, and other HR documents.
  • Maintain and update employee personal files and HR records.
  • Manage employee attendance, leave, medical leave, and claims records.
  • Assist in monthly payroll preparation, including EPF, SOCSO, EIS, PCB, and other statutory contributions.
  • Coordinate employee onboarding and offboarding processes.
  • Monitor employee probation and confirmation status.
  • Assist in handling employee enquiries and HR-related matters.
  • Ensure HR records and processes comply with applicable Malaysian employment and statutory requirements.
  • Support management in other HR-related matters as required.

Pay: RM1,700.00 - RM2,500.00 per month
