Fashion Production Assistant

Vacancy: 1 Fulltimer

The Fashion Production Assistant supports the production process from sample development to bulk production by coordinating with suppliers, monitoring production timelines, and ensuring orders are completed according to the required specifications and deadlines. This role reports to the Production Manager.

We'd love to hear from you:

  • Diploma or Degree in Fashion, Apparel, Textile, Production Management or a related field.
  • 1 – 2 years of experience in fashion production, garment production, merchandising or supplier coordination is an advantage.
  • Basic understanding of garment production processes, fabrics, materials and production terminology.
  • Able to read and understand technical packs, measurements and product specifications.
  • Good communication and negotiation skills when dealing with suppliers and vendors.
  • Strong follow-up skills and ability to manage multiple orders simultaneously.
  • Good attention to detail, especially when checking samples, specifications,quantities and production requirements.
  • Good organizational and time management skills.
  • Proficient in Microsoft Excel, Google Sheets and other relevant systems.
  • Able to work in a fast-paced environment and meet tight deadlines.

Your Day-to-Day:

  • Coordinate with suppliers and vendors for sample and bulk production orders.
  • Request quotations, confirm pricing, quantities, lead times and productionrequirements with suppliers.
  • Place and follow up on sample orders based on the approved technical pack.
  • Coordinate bulk orders once samples and specifications have been approved.
  • Maintain regular communication with suppliers to monitor production progress anddelivery timelines.
  • Follow up closely on pending orders and ensure suppliers meet the agreedtimeline.
  • Escalate production delays, quality issues or other concerns to the ProductionManager.
  • Review technical packs provided by the Fashion Designer before submitting ordersto suppliers.
  • Ensure suppliers understand the required measurements, materials, colours,specifications and other product details.
  • Coordinate with the Fashion Designer and supplier if clarification or adjustment isrequired.
  • Ensure the approved sample is used as the reference for bulk production.
  • Prepare and maintain production-related order records, purchase orders andsupplier documentation.
  • Check supplier invoices against the agreed quotation, order quantity and pricing.
  • Ensure invoices and supporting documents are complete before submitting forpayment processing.
  • Maintain proper records of sample and bulk production orders for tracking and reference.
  • Maintain an updated production tracker covering sample orders, bulk orders, production status and expected delivery dates.
  • Monitor production schedules and proactively follow up on approaching deadlines.
  • Coordinate with relevant departments to ensure production requirements arealigned with launch or delivery timelines.
  • Assist in identifying potential production delays and propose solutions wherepossible.
  • Support the Production Manager and Fashion Designer in resolving production-related issues

What is expected of you:

  • Be proactive. Do not wait for the supplier's update. Follow up before the deadline and make sure every order is moving.
  • Be detail-oriented. A small mistake in quantity, measurement, colour, material or specification can affect the entire bulk order.
  • Own your orders. Once an order is assigned to you, you are expected to know its current status, pending action, supplier and expected completion date.
  • Follow the timeline. Production deadlines are important. Identify potential delays early and escalate them before they become bigger problems.
  • Check before confirming. Make sure technical packs, quantities, pricing, samples and supplier requirements are clear before proceeding with production.
  • Build good supplier relationships. Communicate professionally, follow up firmly but respectfully, and work towards getting the best outcome for the company.
  • Be solution-oriented. When an issue happens, do not only highlight the problem.Come prepared with possible solutions or alternatives.
  • Maintain accurate records. Production trackers, orders, invoices and supplierinformation must always be updated and easy to trace.
  • Work as a team. Production requires close coordination between Design,Production, Finance and suppliers. Good communication is essential to keep the process running smoothly.
