Part-time Sales Operations (6-months)

• Location: Suntec
• Working hours: Full-day (2x/week) or half-day (4 x/week)
• Work commencement: Immediate
• Salary: $1,400
  Junior level, experience is not required, training will be provided.

Role Summary

Support the trading team with contract preparation, trade documentation vendor registration and administration tasks, ensuring accuracy and timely processing.

Key Responsibilities

• Prepare purchase and sales contracts using approved templates and instructions from the trading team.
• Check contracts against agreed commercial terms, including price, quantity, specifications, payment terms and shipment schedules; highlight discrepancies to review.
• Send approved contracts to counterparties, follow up on signatures and maintain signed copied.
• Assist with vendor registration by collecting required documents, checking completeness, submitting applications and following up on internal approvals.
• Prepare and check shipping documents, including commercial invoices, packing lists, bills of lading, certificates of origin and inspection certificates.
• Coordinate with suppliers, customers, freight forwarders and internal teams to obtain outstanding documents.
• Track contract signing, vendor registration and shipping document deadlines.
• Maintain organized electronic and physical records of contracts, vendor documents, shipments and payments.
• Update shipment trackers and enter transaction details into company systems.
• Arrange courier dispatch and securely handle original documents.
• Provide routine administrative support and maintain confidentiality of commercial information.
• Monitor AR and Advance Payments.
