Role Description

Supports or leads the purchasing of goods and services needed for business operations. Works with internal departments to confirm requirements, specifications, quantities, budgets, and delivery schedules, then coordinates with suppliers to obtain quotations, place orders, and resolve purchasing issues. Helps ensure that purchases follow approval procedures and deliver the required quality, value, and service.

A Purchasing Assistant typically processes requisitions and purchase orders, checks order information, follows up on delivery dates, updates records, and responds to routine supplier or internal enquiries. A Purchasing Specialist manages more complex purchases, obtains and evaluates quotations, supports supplier selection and negotiations, monitors order and supplier performance, and recommends improvements. A Purchasing Manager leads purchasing activities, develops policies and priorities, manages the purchasing team and budget, and oversees supplier relationships and commercial results.

Coordinates purchase-to-pay activities, including requisition review, quotation gathering, purchase-order preparation, order confirmation, delivery tracking, and invoice discrepancy resolution. Works with finance, procurement, operations, legal, quality, and other teams to review supplier terms, specifications, contract requirements, and approvals. Maintains complete purchasing documentation and supports accurate transaction records.

Monitors purchasing measures such as cost, order cycle time, on-time delivery, supplier quality, savings, and contract use. Identifies potential supply delays, price changes, shortages, and other risks, then coordinates appropriate action. Helps improve purchasing procedures, supplier communication, order accuracy, and compliance with procurement controls. Manager-level roles may also develop purchasing strategies, lead major negotiations, set performance targets, manage staffing, and report results to senior leaders.

  • Experience in purchasing, procurement, supply chain, inventory, or supplier coordination
  • Understanding of purchase requisitions, purchase orders, supplier quotations, delivery tracking, and invoice matching

  • Good judgment and discretion when handling confidential pricing and business information
  • Relevant qualifications such as CIPS, CPSM, or equivalent are beneficial
  • Negotiation, category ownership, team leadership, and budget-management experience may be expected for manager-level roles
