This role plays a critical part in ensuring our supply chain runs efficiently, cost-effectively, and reliably.

What We’re Looking For

We are hiring a detail-oriented, commercially aware Procurement Executive to manage purchasing activities, supplier coordination, cost tracking, and inventory-related procurement support.

This role is ideal for someone who understands procurement in a trading or distribution business, is comfortable working with numbers, documents, and suppliers, and can support operations with disciplined purchasing processes.

What You’ll Do

1. Procurement & Purchasing Operations

Source, evaluate, and liaise with suppliers for products, parts, and services.
Prepare purchase requisitions, purchase orders (PO), and follow up on deliveries.
Ensure purchased items meet specifications, pricing, and delivery timelines.
Coordinate with operations and warehouse teams on purchasing needs.
Maintain accurate procurement records and supplier databases.

2. Supplier & Cost Management

Negotiate pricing, payment terms, and delivery schedules where applicable.
Track purchase costs and support cost comparison analysis.
Monitor supplier performance (pricing, reliability, lead time).
Assist management with procurement cost optimisation.

3. Inventory & Cost Control (Very Important for Trading)

Monitor stock levels and coordinate procurement planning with inventory needs.
Support inventory movement tracking and valuation.
Assist in tracking cost of goods sold (COGS).
Support stock take exercises and investigate variances.
Work closely with warehouse and operations teams to reconcile records.

4. Documentation & Compliance

Ensure proper documentation for all purchases (PO, DO, invoices).
Maintain organised filing of procurement and supplier documents.
Support internal controls and audit requirements related to purchasing.
Ensure procurement processes follow company SOPs and approval flows.

5. Cross-Department Coordination

Work closely with sales, operations, logistics, and finance teams.
Support project-based procurement when required.
Provide procurement updates and reports to management.

What You’ll Achieve in the First 12 Months

Month 1–3: Understand & Stabilise

Learn and build GreenFox products, suppliers, and procurement workflows.
Take ownership of day-to-day purchasing tasks.
Ensure procurement documentation accuracy.

Month 4–6: Improve Control

Improve purchase tracking and supplier coordination.
Support better cost visibility and inventory planning.
Reduce procurement delays or mismatches.

Month 7–12: Optimise & Support Growth

Become a reliable procurement point of contact.
Support scaling procurement needs as the business grows.
Help management with cost control and supplier strategy.

About You

Must Have:

Experience in procurement, purchasing, supply chain, or operations support.
Strong attention to detail and documentation accuracy.
Comfortable working with Excel / Google Sheets.
Able to follow up firmly with suppliers and internal teams.
Good communication skills (written and verbal).
Responsible, organised, and reliable.

Good to Have (Bonus Points):

Experience in trading, distribution, or technical products.
Familiar with inventory systems or stock management.
Experience coordinating with warehouse or logistics teams.
Knowledge of basic costing or procurement analysis.
