Key Responsibilities

Communication & Correspondence: Answer and direct calls, manage emails, draft memos, letters, and other documents.
Scheduling & Calendar Management: Arrange appointments, meetings, and conferences, and manage calendars for staff and executives.
Document & Record Management: Create and maintain organized filing systems, databases, and other records.
Office Operations: Handle general office duties, order supplies, maintain equipment, and ensure the workspace is organized.
Support to Staff: Provide assistance to colleagues and management, which may include preparing expense reports, coordinating travel, and supporting projects.
Client & Visitor Support: Serve as a point of contact, greet visitors, and provide professional assistance to clients and other external stakeholders.
Financial Tasks: May involve basic bookkeeping, tracking expenses, and handling invoices.

Essential Skills & Qualifications

Organizational & Time Management: Ability to manage multiple tasks, prioritize workload, and stay organized.
Communication: Excellent verbal and written communication skills are crucial for handling various forms of correspondence and interaction.
Technical Proficiency: Expertise in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software is generally required.
Attention to Detail: A keen eye for detail is necessary for accurate data entry, document preparation, and record-keeping.
Interpersonal Skills: Strong interpersonal and customer service skills are needed to interact effectively with colleagues, clients, and visitors.
Problem-Solving: The ability to identify and resolve issues that arise during daily operations.
Professionalism: Maintaining a professional demeanor is important when interacting with internal and external parties.
