Job Overview
Menrez Rimau is seeking a detail-oriented, organized, and proactive Sales Administrator to join our growing operations. In this role, you will act as the operational backbone of our sales team, handling order processing, customer inquiries, invoice management, and cross-departmental coordination with our warehouse and logistics teams to ensure prompt delivery of our cooking oil products.
Key Responsibilities
- Order Processing & Invoicing:
- Receive, verify, and process purchase orders (POs) from wholesale, retail, and commercial cooking oil buyers.
- Issue accurate sales quotations, delivery orders (DO), tax invoices, and credit notes.
- Sales Support & Documentation:
- Assist the sales team and account managers with client documentation, price updates, and trade agreements.
- Maintain up-to-date customer databases, sales records, and pricing catalogs.
- Logistics & Inventory Coordination:
- Liaise closely with warehouse operations and dispatch teams to schedule timely deliveries.
- Track daily stock levels (bulk and packaged cooking oil products) and inform sales staff of supply status or shortages.
- Customer Care & Query Handling:
- Serve as the primary point of contact for customer inquiries regarding product availability, pricing, order status, and shipment schedules.
- Manage customer feedback or order discrepancies (e.g., damaged goods or quantity mismatch) and coordinate resolutions.
- Reporting & Administrative Tasks:
- Compile monthly sales reports, order status updates, and revenue summaries for management review.
- Maintain proper filing of sales documentation for audit and accounting reconciliation.
Job Requirements & Qualifications
- Education:
- Diploma or Bachelor’s Degree in Business Administration, Sales, Marketing, Logistics, or a related field (SPM/High School diploma with strong relevant experience will be considered).
- Experience:
- 1–3 years of experience as a Sales Administrator, Sales Coordinator, or Customer Service Executive, preferably within the FMCG, food processing, palm oil, or wholesale distribution sectors.
- Technical Skills:
- Proficiency in Microsoft Office (especially MS Excel for tracking and basic formulas).
- Hands-on experience with inventory/ERP software (e.g., SAP, AutoCount, SQL, IFCA, or similar sales systems) is a strong advantage.
- Core Competencies:
- High accuracy and attention to detail when inputting orders and issuing invoices.
- Excellent verbal and written communication skills to handle client interactions professionally.
- Strong organizational and multitasking abilities to thrive in a fast-paced environment.
Pay: RM2,300.00 - RM2,500.00 per month
