Service Coordinator — Job Scope
1. Service & Installation Coordination
- Coordinate daily installation, servicing, maintenance and troubleshooting schedules.
- Assign technicians based on job location, urgency, and workload.
- Confirm appointment dates and times with customers/dealers.
- Ensure technicians have the necessary equipment, parts and job information before attending site.
- Monitor job progress and follow up until completion.
2. Customer & Dealer Coordination
- Act as the main point of contact between customers, dealers, technicians and internal departments.
- Receive and coordinate service requests, complaints and installation arrangements.
- Liaise with dealers regarding customer information, agreed scope of work and installation requirements.
- Ensure dealer pricing/invoice information is not disclosed or incorrectly passed to end customers.
- Escalate complaints or complicated cases to the relevant person/department.
3. Documentation & Administration
- Prepare and maintain service orders, installation forms, job sheets and service reports.
- Update service records and job status in the company's system.
- Ensure completed job documents are properly filed.
- Prepare daily/weekly service schedules and reports.
- Monitor outstanding jobs and ensure timely closure.
4. Parts & Technician Coordination
- Coordinate with warehouse/purchasing for required spare parts and equipment.
- Check parts availability before scheduling jobs.
- Follow up on parts required for pending service cases.
- Coordinate return of unused parts, defective parts and equipment where necessary.
5. Follow-Up & Quality Control
- Follow up with customers/dealers after installation or service when required.
- Monitor recurring complaints and unresolved cases.
- Ensure technicians complete required documentation and obtain customer acknowledgement.
- Report recurring technical/service issues to management.
6. General
- Support the Service/Technical Department in daily operations.
- Perform other duties assigned by management.
- Maintain good communication and coordination between Sales, Service, Warehouse, Accounts and Dealers.
Requirements
Minimum Requirements
- Diploma/Degree in Business Administration, Management, Engineering, Customer Service or related field.
- 1–3 years of experience in service coordination, customer service, operations, administration or a similar role.
- Fresh graduates with good communication and organisational skills may also be considered.
- Good Microsoft Office / Google Workspace skills, especially Excel.
- Good communication skills in English and Bahasa Malaysia; Mandarin would be an added advantage.
- Able to communicate professionally with customers, dealers and technicians.
- Strong organisational and time-management skills.
- Able to handle multiple jobs and follow up on pending matters.
- Able to work under pressure and meet deadlines.
- Detail-oriented with good documentation and record-keeping skills.
- Willing to coordinate with technicians and handle operational matters.
Pay: RM2,300.00 - RM2,800.00 per month
