  • At least 1 year of experience in Finance or Accounting.
  • Good experience in full set accounting.
  • Self-driven, meticulous and possesses a high degree of initiative and integrity.
  • Strong customer service orientation, analytical, interpersonal and communication skills.
  • Computer literate, detailed, conscientious and able to work independently and in a team.

岗位职责

Job Summary:

  • The primary responsibility of the Accounts Executive is to manage and maintain the company’s accounting and financial records accurately and efficiently. The position is responsible for day-to-day accounting operations, including bookkeeping, accounts payable, accounts receivable, cash management, credit control, payment processing, financial records, and coordination with external parties.
  • The Account Executive is also responsible for ensuring that accounting records are properly maintained, statutory and tax requirements are complied with, and all financial matters are handled accurately and on a timely basis to support the efficient operation of the company.

Responsibilities:

A. General Accounting & Bookkeeping

  • Prepare, maintain and examine financial records to ensure all accounting entries are accurate, complete and properly supported.
  • Establish and maintain proper tables of accounts and ensure transactions are assigned to the correct accounts.
  • Perform daily bookkeeping using the current SQL accounting system.
  • Ensure all transactions are accurately and promptly keyed into the accounting system.
  • Maintain proper accounting records, supporting documents, and financial reports.
  • Ensure all accounting documents and records are properly filed and archived for a minimum of 7 years.
  • Assist in the preparation of financial reports and other accounting information required by Management.
  • Ensure all taxes and statutory payments are properly accounted for and paid accurately and on time.
  • Continuously improve accounting processes and stay updated on the latest accounting principles, practices, and requirements.

B. Bank & Cash Management

  • Monitor and maintain proper records of all company bank accounts.
  • Maintain proper records of incoming cash sales.
  • Ensure cash sales are banked and properly recorded.
  • Manage and maintain the company’s petty cash.
  • Verify petty cash claims and ensure all claims are properly supported by relevant documents.

C. Payment & Accounts Payable

  • Prepare and issue payment vouchers for payments made to creditors.
  • Verify invoices, supporting documents and payment requests before processing payments.
  • Ensure payments are properly authorised and accurately recorded in the accounting system.
  • Monitor outstanding supplier balances and resolve discrepancies where necessary.
  • Maintain proper records of all payments made by the company.

D. Salesman Claims

  • Check all salesman claims to ensure that:
  • Claims are related to legitimate business expenses.
  • Supporting documents and receipts are provided.
  • Claims comply with company policies.
  • Highlight any unusual, unsupported, or unrelated claims to Management for review.

E. Credit Application & Credit Control

  • Review new customer credit applications and supporting documents.
  • Check and assess customers’ credit ratings and payment history before recommending credit facilities.
  • Ensure approved credit limits and payment terms are properly recorded and monitored.
  • Maintain proper records of customer credit applications and approvals.
  • Monitor customer accounts and identify potential credit risks.

F. Accounts Receivable / Debtors Management

  • Prepare and send Statements of Account (SOA) to customers during the first week of every month for the previous month.
  • Monitor outstanding customer balances and ensure customers make payments according to the agreed credit terms.
  • Follow up regularly on all overdue payments.
  • Maintain and update the debtors aging report.
  • Identify long outstanding or high-risk accounts and highlight them to Management.
  • Issue reminder or demand letters to customers and guarantors where necessary.
  • Liaise with guarantors to obtain settlement of overdue accounts.
  • Maintain proper documentation and records of all collection efforts and correspondence.

G. Legal & Debt Recovery Follow-Up

  • Liaise with the company’s appointed lawyers where there is no satisfactory response from customers or guarantors regarding overdue payments.
  • Provide the necessary supporting documents and information to the lawyers for the issuance of a Notice of Demand or other appropriate legal action.
  • Follow up with the lawyers on the progress of debt recovery matters.
  • Maintain proper records of all legal correspondence and recovery cases until the matter is resolved or closed.

H. External Parties & Statutory Matters

  • Liaise with the companies: Bank, External auditors, Tax agents, Company secretarial, Lawyers, Other relevant professional advisers.
  • Provide the necessary accounting records, documents and information required by external parties.
  • Assist with annual audit, tax submission and other statutory or compliance requirements.
  • Ensure requested documents and information are provided accurately and within the required timeline.

I. Filing, Documentation & Record Management

  • Maintain proper filing systems for accounting and financial documents.
  • Ensure all invoices, payment vouchers, receipts, bank documents, customer records, supplier records, and other financial documents are properly filed.
  • Maintain both physical and electronic records where applicable.
  • Ensure accounting records are securely maintained and readily available for audit or Management review.
  • Retain financial records and supporting documents for at least 7 years, or longer where required by law or company policy.

J. Management Support & Continuous Improvement

  • Provide Management with accurate and timely financial information when required.
  • Assist Management in monitoring cash flow, receivables, payables and other financial matters.
  • Identify accounting or financial process issues and recommend improvements.
  • Continuously acquire and update knowledge of accounting principles, tax requirements, financial practices and relevant regulations.
  • Maintain confidentiality of all company financial and business information.
  • Perform any other finance, accounting or administrative duties as assigned by Management.
