Responsibilities

Event Coordination

• Create and maintain event checklists, timelines, and booking records to keep teams aligned and deadlines met.
• Handle vendor confirmations, venue bookings, and simple contract follow ups to ensure logistics are secured.
• Prepare event materials, attendee lists, and registration packs so on-site teams can execute smoothly.
• Support post-event tasks such as returns, inventory checks, and basic wrap-up reports.

Vendor & On-site Support

• Act as the point of contact for suppliers on the day, managing deliveries and troubleshooting minor issues.
• Assist with set up and pack down, following site plans and safety instructions from leads.
• Coordinate transport and brief event staff or volunteers so roles are clear and times are met.
• Log incidents and feedback during events to help improve future runs.

Admin & Reporting

• Maintain accurate expense records and help track basic budgets for small events.
• Prepare post-event summaries with attendance, vendor notes, and improvement suggestions.
• Manage shared calendars, meeting notes, and client communications to keep the team informed.
• Update internal databases and contact lists so information is current and searchable.

Requirements

Qualifications & Experience

• Fresh graduate or equivalent, ideally with a diploma or degree in marketing, communications, hospitality, or related fields.
• 0 years of formal event experience expected; internship or volunteer event work is a plus.
• Available to work occasional weekends and evenings for events and site visits.

Hard Skills & Knowledge

• Proficient with Google Workspace or Microsoft Office for schedules, sheets, and presentations.
• Basic budget tracking and invoice handling for small vendor payments and reimbursements.
• Familiarity with event registration tools or willingness to learn platforms like Eventbrite or similar.
• Strong organisational skills with attention to detail for logistics and checklist management.

Soft Skills & Qualities

• Communicate clearly with clients, vendors, and teammates, both in writing and in person.
• Stay calm under pressure and solve practical problems on the go with a can do attitude.
• Be dependable, punctual, and ready to take direction while also suggesting small improvements.
• Work well in small teams, accept feedback, and show eagerness to learn new event workflows.
