Prepare and process Purchase Orders (POs) based on approved Purchase Requisitions.
Source quotations from suppliers and conduct price comparisons to obtain the best value in terms of cost, quality, and delivery.
Communicate with local and overseas Mandarin-speaking suppliers regarding quotations, orders, delivery schedules, and payment terms.
Follow up on outstanding purchase orders to ensure timely delivery of goods and services.
Coordinate with the Warehouse, Operations, Maintenance, and Finance departments to ensure procurement requirements are met.
Verify supplier invoices, Delivery Orders (DOs), and Purchase Orders for accuracy before submission to the Finance Department.
Maintain accurate purchasing records, supplier databases, and procurement documentation.
Update procurement transactions in the ERP/MRP system or purchasing software.
Monitor inventory levels and assist in maintaining adequate stock of materials and spare parts.
Assist in sourcing new suppliers and evaluating supplier performance.
Resolve supplier issues related to delivery delays, pricing discrepancies, or product quality.
Prepare purchasing reports, outstanding order reports, and monthly procurement summaries.
Ensure compliance with company procurement policies, internal procedures, and quality standards.
Perform general administrative duties and other responsibilities assigned by the Purchasing Executive or Procurement Manager.
Job Requirements
SPM, STPM, Diploma, or Bachelor's Degree in Business Administration, Purchasing, Supply Chain Management, Logistics, or a related field.
Minimum 1–2 years of experience in purchasing, procurement, or administrative support. Fresh graduates with relevant qualifications are encouraged to apply.
Ability to read, write, and speak Mandarin, English, and Bahasa Malaysia to communicate effectively with Mandarin-speaking suppliers.
Knowledge of procurement procedures and inventory control.
Experience using ERP/MRP systems is an added advantage.
Proficient in Microsoft Office applications, especially Excel and Word.
Strong organizational and documentation skills.
Good communication, negotiation, and interpersonal skills.
Able to work independently and manage multiple priorities in a fast-paced environment.
