Key Responsibilities:
- Office Operations & Reception:
- Manage front-desk reception, handling incoming calls, faxes, and greeting clients with a professional demeanor.
- Oversee office & pantry maintenance, including supervising outsourced cleaners and security personnel.
- Manage meeting room bookings, ensuring facilities are tidy and set up for scheduled meetings.
- Administration & Secretarial Support:
- Provide comprehensive secretarial support, including documentation, filing, and official record keeping.
- Coordinate travel arrangements (hotel & flight) for employees.
- Manage F&B arrangements for meetings and training sessions.
- Procurement & IT Coordination:
- Support the Procurement Department by sourcing quotations and performing price comparisons.
- Serve as the IT Coordinator, acting as the first point of contact for basic IT troubleshooting.
- General: Perform any other ad-hoc administrative duties as assigned by management.
Requirements:
- Diploma in Office Management, Business Administration, or a related field.
- Fresh graduates are encouraged to apply; 1 year of experience is an added advantage.
- Proficient in MS Office (Word, Excel, PowerPoint).
- Strong interpersonal and communication skills with a professional attitude.
- Ability to multitask, manage time effectively, and prioritize tasks under pressure.
