GENERAL JOB SCOPE
Without the right administrative assistant, even the most talented team might find itself overworked and disorganized. Our company is searching for a motivated and experienced Admin Assistant to assist in monitoring the team members’ work productivity and progress, analyzing data, and producing periodical reports and statistics.
To qualify for the role, the ideal candidate will have proven experience working in an administration position, with excellent administrative, organization & reporting skills. In addition to being an excellent communicator (written and verbal), you will also demonstrate strong organization & interpersonal skills.
DUTIES & RESPONSIBILITIES
- Provides administrative support to ensure efficient operation of the office.
- Answers phone calls, schedules meetings, and supports visitors.
- Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing expediting orders for supplies.
- Contributes to team effort by accomplishing related results as needed.
- Resolve escalated and complex customer issues on time by providing back-up assistance to team members when needed.
- Identify and resolve problems that affect customer service quality and efficiency.
- Monitor Field Technicians’ service work status & Job-done of PM Calls, Fresh Calls & Urgent Calls to ensure work quality is met according to SOP.
- Update daily report for service calls received by nature, volume & technicians.
- Configurate data analysis for the preparation of monthly Management Reporting.
- Any other ad-hoc tasks and assignments required by the Management
