To provide efficient, courteous and professional front office services to hotel guests, ensuring a smooth guest experience from arrival to departure. The Guest Relations Assistant is responsible for handling guest enquiries, reservations, check-in and check-out procedures, payment transactions, guest requests and other front office duties in accordance with hotel standards and procedures.
KEY RESPONSIBILITIES
- Greet and welcome guests in a warm, friendly and professional manner.
- Attend to guest enquiries, requests and complaints promptly and courteously.
- Provide accurate information on hotel facilities, services, operating hours, promotions and nearby attractions.
- Assist guests with directions, transportation arrangements and other reasonable requests.
- Maintain a high standard of customer service throughout the guest's stay.
- Handle guest feedback and escalate unresolved issues to the Front Office Executive.
- Perform guest check-in and check-out procedures accurately and efficiently.
- Verify guest identification, reservation details and required registration information.
- Issue room keys/cards and provide relevant information regarding the hotel and room facilities.
- Ensure all guest charges and payments are properly recorded and settled.
- Process room changes, extensions and other guest requests in accordance with hotel procedures.
- Ensure proper handover of outstanding matters between shifts.
- Assist with handling room reservations, amendments, cancellations and no-show matters.
- Update guest and reservation information accurately in the Property Management System (PMS).
- Monitor room availability and coordinate with Housekeeping regarding room status.
- Communicate special guest requests and arrangements to the relevant departments.
- Assist in maximizing room occupancy and revenue by following approved room-selling procedures.
- Handle cash, credit/debit card and other approved payment transactions accurately.
- Issue receipts and other required documents to guests.
- Maintain proper control of the cash float and cashiering procedures.
- Perform shift closing and cash reconciliation as required.
- Answer and handle incoming telephone calls professionally.
- Respond to guest messages, emails and other enquiries promptly.
- Direct calls and enquiries to the appropriate department or personnel.
- Maintain effective communication with Housekeeping, Engineering, F&B, Sales and other departments to ensure smooth hotel operations.
- Maintain accurate guest records, registration forms and other front office documentation.
- Prepare daily reports and other operational records as assigned.
- Maintain proper filing and confidentiality of guest information.
- Ensure the Front Office counter and surrounding areas are clean, organized and presentable.
- Follow all hotel policies, SOPs, security procedures and service standards.
- Follow hotel security procedures and remain alert to any suspicious activities.
- Ensure proper verification of guest identity when required.
- Report accidents, incidents, lost and found items or security concerns to the relevant supervisor immediately.
- Comply with emergency, fire safety and evacuation procedures.
- Assist with hotel events, functions and special guest arrangements when required.
- Support other departments during peak periods or operational requirements.
- Participate in training, briefings and staff meetings.
- Perform any other duties and responsibilities assigned by the management from time to time.

Pay: RM1,700.00 - RM2,000.00 per month
