OM & Logistic Admin will be responsible for maintaining accurate production records, updating schedules, and ensuring proper documentation. The role requires excellent communication skills, a strong focus on detail, and the ability to handle multiple tasks in a fast-paced manufacturing environment.
Key Responsibilities:
1. Documentation & Records Management
- Prepare and maintain shipping documents (delivery orders, packing lists, invoices, credit notes).
- Monitor LMW License records, including monthly reports and exemption applications.
- Maintain organized filing systems (physical and digital).
- Assist in compiling customs-related reports and documentation.
- Update administrative forms, templates, and SOPs as required.
2. Data Entry & Reporting (Excel-Intensive)
- Maintain department trackers, schedules, and databases using Microsoft Excel.
- Generate daily, weekly, and monthly reports for management.
- Perform accurate and timely data entry into ERP/order management systems.
- Cross-check data for accuracy and flag discrepancies.
- Prepare presentation materials and dashboards using Excel and PowerPoint.
3. Communication & Coordination Support
- Coordinate communication between logistics team, customers, and suppliers.
- Liaise with internal departments (production, store, finance) on delivery-related matters.
- Support authority applications and correspondence with MIDA, MITI, and Customs.
- Respond promptly to internal requests for information and documents.
4. General Administrative Support
- Manage scheduling, meeting coordination, and minute-taking.
- Monitor and replenish department stationery and supplies.
- Organize records for audits, compliance reviews, and management reporting.
- Perform other administrative duties as assigned.
