岗位职责

Quantios was formed from the merger of TrustQuay and Viewpoint and brings together the unique but complementary strengths of both businesses to deliver a truly global presence, deep industry knowledge and strong delivery capability to meet client challenges, no matter they are based. We have over 30 years’ experience in servicing the specific technology needs of the Trust, Private Client, Corporate Services and Fund Administration sectors. We engage closely with stakeholders across the industry on regulatory, operational and other matters via our events programme, customer advisory groups and our active memberships of key industry bodies throughout the world.

The Billing and Accounts Receivable (AR) Specialist is responsible for managing invoicing, revenue booking, debt collection, and reconciliation processes across Quantios' subsidiaries. This role involves ensuring accurate and timely billing, managing customer payments, coordinating with the License team on payment-triggered license issuance, updating customer data, and supporting financial analysis and audits. The ideal candidate has strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks and deadlines across a multi-entity environment.

  • Invoice Management — Issue invoices to customers promptly upon receipt of a signed contract, ensuring invoices adhere to the terms and conditions specified in each contract. Monitor customer renewals to ensure the system is updated and renewal invoices are issued on time. Ensure revenue data is accurately recorded and kept up to date, with supporting notes and documents attached for audit and legal purposes. Verify that invoices apply the correct tax rate per local regulations, and that invoices are accurate and complete before sending to customers.
  • Revenue Booking — Ensure revenue data is updated correctly in the system to reflect the correct movement in the annual recurring revenue (ARR/CARR) report.
  • Debt Collection — Regularly send statements to customers and follow up on overdue payments. Liaise with customers and internal teams to address and resolve invoice and debt-related issues. Work alongside account managers to collect debt and flag with the manager where issues or commercial discussions are required.
  • Customer Data Management — Ensure customer information is accurately and promptly updated in the system.
  • Bank Reconciliation — Perform bank reconciliations for customer payments, ensuring payments are accurately allocated to the corresponding invoices. Investigate and resolve any discrepancies between bank statements and accounting records.
  • License Issuance Notification — Once a customer payment has been reconciled in the bank reconciliation step, notify the License team with a go-ahead confirmation so the corresponding license can be issued to the customer.
  • Month-End Closing — Assist in the month-end closing process for accounts receivable, ensuring all transactions are accurately recorded and reported. Prepare and review related reports and reconciliations.
  • Audit Support — Assist with audits by providing necessary documentation and support. Ensure compliance with internal controls and financial regulations.
  • Cash Receipt Forecasting — Support cash receipt forecasting by providing insights into expected customer payments, and regularly update the cash receipt forecast report and actual cash receipts.

  • Proficiency with accounting/ERP systems (e.g., Microsoft Business Central) and Microsoft Excel.
  • Strong attention to detail and accuracy, given the financial and legal implications of billing and license issuance data.
  • Good communication skills, with the ability to liaise confidently with customers, account managers, the License team, and the CFO on payment and billing matters.
  • Strong organizational and time-management skills, with the ability to manage multiple invoices, renewals, and deadlines simultaneously.
