6.    Ability to work independently and meet deadlines

岗位职责

1.    LPG Cylinder & Stock Management

a.    Maintain accurate records of LPG cylinder stock by store/location.

b.    Monitor daily opening stock, incoming stock, outgoing stock and closing stock.

c.     Record and reconcile cylinder movements between:

 

                                      i.        Store

                                     ii.        Customers

                                    iii.        Delivery vehicles

 

d.    Monitor cylinder transfers, exchanges, returns and adjustments.

e.    Investigate discrepancies between physical LPG cylinder counts and system/recorded balances.

f.      Prepare daily, weekly and monthly LPG stock reports.

g.    Coordinate with Storekeepers, Drivers, Sales Personnel and Operations Managers regarding stock movements.

h.    Monitor cylinder shortages, excesses, damaged cylinders and other discrepancies and report them to management.

i.      Maintain proper documentation for all LPG stock transfers and movements.

j.      Assist in monitoring LPG stock requirements and replenishment based on operational requirements.

 

2.    Delivery & LPG Operations Administration

a.    Coordinate and maintain records of LPG delivery activities.

b.    Monitor daily delivery schedules and assignments.

c.     Ensure delivery documentation is complete and properly filed.

d.    Monitor delivery quantities against sales orders, invoices and delivery records.

e.    Verify that drivers submit required delivery documentation and photographs.

f.      Maintain records of customer deliveries, cylinder quantities and delivery dates.

g.    Assist in monitoring pending deliveries, cancelled deliveries and delivery discrepancies.

h.    Coordinate with Sales and Operations teams regarding delivery requirements.

i.      Prepare operational reports relating to LPG deliveries and cylinder movements.

j.      Escalate irregularities, shortages, unexplained stock movements or documentation issues to management.

 

3.    Fleet Management

a.   Vehicle Records & Documentation

                              i.        Maintain complete records for all company vehicles and LPG lorries.

                             ii.        Monitor vehicle documents, including:

a)    Road tax

b)    Insurance

c)    PUSPAKOM documents, where applicable

d)    Vehicle permits/licences

e)    Inspection records

f)     Vehicle registration documents

b.   Maintain records of assigned drivers and vehicle allocation.

c.   Monitor expiry dates and ensure timely renewal of vehicle-related documents.

d.   Maintain an updated fleet master list.

 

4.    Vehicle Maintenance

a.           Maintain vehicle maintenance schedules and service records.

b.           Monitor scheduled servicing based on mileage, date or manufacturer requirements.

c.     Coordinate vehicle servicing, repairs and inspections with workshops or service providers.

d.    Record repair and maintenance costs for each vehicle.

e.    Monitor recurring vehicle problems and report them to management.

f.      Follow up with workshops on outstanding repairs and vehicle completion dates.

g.    Maintain records of tyres, batteries and other major vehicle components.

h.    Ensure vehicle maintenance documentation is properly filed and updated.

 

5.    Daily Fleet Monitoring

a.    Monitor daily vehicle utilisation and availability.

b.    Maintain records of:

                                              i.        Vehicle allocation

                                             ii.        Driver assignment

                                            iii.        Mileage/odometer readings

                                           iv.        Fuel usage

                                             v.        Vehicle downtime

                                           vi.        Repairs

                                          vii.        Maintenance

                                         viii.        Accidents/incidents

c.     Ensure drivers complete the required vehicle inspection/checklist.

d.    Monitor vehicle condition reports and follow up on reported defects.

e.    Ensure vehicles are returned and parked at the designated location according to company procedures.

f.      Monitor vehicle keys and vehicle-related assets.

 

6.    Driver Administration

a.    Maintain updated records of all company drivers.

b.    Monitor driver licences, including GDL where applicable.

c.     Monitor expiry dates of driver licences and other required documentation.

d.    Maintain driver-to-vehicle assignment records.

e.    Maintain records of driver attendance, vehicle usage and assigned routes where required.

f.      Record vehicle-related incidents, accidents, traffic summonses and disciplinary matters.

g.    Coordinate driver documentation and administrative requirements with HR and Operations.

h.    Ensure drivers comply with company vehicle and LPG delivery procedures.

 

7.    Fuel & Fleet Cost Monitoring

a.    Maintain records of fuel purchases for company vehicles.

b.    Monitor fuel consumption against vehicle mileage and operational usage.

c.     Identify unusual or excessive fuel consumption and report to management.

d.    Maintain records of:

a.    Fuel expenses

b.    Toll expenses

c.     Maintenance expenses

d.    Repair expenses

e.    Tyre expenses

f.      Other fleet-related expenses

e.    Prepare monthly fleet cost reports.

f.      Assist management in monitoring fleet operating costs and identifying unnecessary expenses.

 

8.    Document Control & Administration

a.    Maintain an organised filing system for LPG and fleet-related documents.

b.    Ensure physical and electronic records are properly maintained.

c.     Update Google Drive/shared folders or relevant company systems promptly.

d.    Ensure operational records are updated within the required timeline.

e.    Maintain document version control and prevent unauthorised alteration or deletion of company records.

f.      Prepare reports, forms, schedules and administrative documents as required.

g.    Ensure confidential company and operational information is properly handled.

 

9.    Compliance & Control

a.    Ensure LPG and fleet records comply with company SOPs and management requirements.

b.    Assist in preparing documents for internal audits and management reviews.

c.     Ensure required records are complete, accurate and traceable.

d.    Report any suspected misuse, unauthorised vehicle usage, stock discrepancies or irregular transactions to management.

e.    Ensure company vehicles are used only for authorised business purposes.

f.      Maintain proper records of vehicle accidents, damage and incidents.

g.    Assist management in implementing improvements to LPG stock and fleet control procedures.

 

 

 

10.  Ad-Hoc Task

a.    Assisting company and management in any other task that are related to Finance Department.
