Responsibilities

Project Management

• Plan event timelines, task lists, and milestone trackers to keep teams aligned and deadlines clear.
• Create and manage event budgets, monitor spend, and prepare simple budget forecasts for approvals.
• Coordinate event schedules, run-of-show documents, and on-site timing to ensure smooth execution.
• Produce post-event summaries with attendance data and actionable learnings for the marketing team.

Operations & Logistics

• Arrange travel, accommodation, and transport for guests and staff, and handle related invoices and reimbursements.
• Manage equipment, signage, and setup checklists to maintain consistent presentation standards.
• Ensure permits, insurance, and venue compliance are obtained and documented before each event.
• Maintain event inventory and storage records to reduce repeat costs and last-minute procurement.

Stakeholder & Vendor Relations

• Source and negotiate with vendors, catering, and technical suppliers to match quality and budget needs.
• Serve as the primary point of contact for venue coordinators and external partners during planning and onsite days.
• Work with internal marketing, creative, and sales teams to align event objectives and deliverables.
• Resolve on-site issues calmly and escalate appropriately to minimise disruption.

Requirements

Qualifications & Experience

• Minimum 2 years of relevant experience in events, operations, or activation roles, preferably within media or marketing.
• Diploma or degree in Marketing, Events Management, Hospitality, or related field is preferred but not mandatory.
• Experience handling small to mid-size events end-to-end, including budget responsibility and vendor coordination.

Hard Skills & Knowledge

• Proven skills in event planning and event management, including travel arrangements and logistics coordination.
• Familiarity with vendor management, venue sourcing, and basic contract review.
• Comfortable using Microsoft Office for schedules, budget sheets, and simple reporting.
• Able to produce post-event reports with attendance figures and clear recommendations.

Soft Skills & Qualities

• Strong accountability with a practical, solution-focused attitude and the ability to stay calm under pressure.
• Self-motivation and quick learning, able to pick up new tools and processes fast.
