Handle recruitment activities, including vacancy postings, candidate sourcing, screening, interview arrangements and offer follow-up to meet outlet manpower requirements.
Coordinate employee onboarding, collect required documents and ensure new joiners receive employment letters, joining instructions and relevant information.
Maintain accurate employee records, personnel files and the employee master list, including outlet assignments, transfers, salary changes and employment status.
Check attendance, leave, overtime and claims; follow up with outlet supervisors to resolve discrepancies before payroll cut-off.
Prepare and verify payroll data, process payroll using the company’s system and submit payroll reports for the HR Manager’s review and approval.
Prepare statutory contribution schedules and coordinate approved submissions for EPF, SOCSO, EIS and PCB.
Prepare employment letters, including offers, confirmations, contract renewals, transfers and resignation acknowledgements.
Support disciplinary administration by compiling attendance records and other relevant information, tracking employee responses and preparing correspondence under the HR Manager’s direction.
Monitor probation periods, contract expiry dates, outstanding employee documents and HR deadlines; follow up proactively.
Respond to routine employee enquiries regarding attendance, leave, payroll and company procedures, escalating matters requiring management decisions.
Coordinate resignations and employee clearance, including final payroll inputs, return of company property and record updates.
Prepare regular reports on recruitment progress, headcount, vacancies, attendance and employee movements.
Assist with training coordination, HR audits and outlet visits, maintaining complete supporting records.
Identify gaps in HR records and workflows, and recommend practical improvements while maintaining employee confidentiality.
