Global Payroll & HR Specialist

Cosmos HR Consulting is a Payroll, HR, and Employer of Record company.
We currently support employees across APAC, working through our own entities, and licensed payroll partners in each country. Our clients range from global HR platforms to engineering and sports-event companies.
THE ROLE
You will run the administrative engine of our monthly payroll cycle, and be the first point of contact for the day-to-day questions that come in from clients, employees and our in-country partners.
This is a coordination role at heart. Our payroll cycle runs every month across APAC, and the work is making sure information and money move between the right people on time, accurately, with a clean paper trail. If that sounds satisfying rather than tedious, you will do well here.
WHAT YOU WILL DO
The monthly payroll cycle
- Send the monthly instruction reminders to clients on a fixed calendar, and follow up on whatever has not come back
- Pass payroll instructions to our in-country partners and track the reports and invoices returning from them
- Check partner payroll reports and invoices line by line against our register, and flag anything that does not reconcile
- Prepare payroll registers and supporting schedules for review
- Collect payslips from partners, file them correctly, and distribute them to clients and employees
- File proofs of payment and keep invoice and payment records current
Onboarding and employee documents
- Send onboarding forms to new hires and follow up with missing documents until each file is complete
- Route employment contracts for signature and file the signed copies
- Track probation end dates, contract renewals and document expiry
- Keep employee records accurate and consistent across our master data and client systems
Day-to-day support
- Answer routine questions from employees and clients on payslips, leave, benefits and statutory contributions
- Process insurance enrolments and retrieve documents from insurer portals
- Prepare employment letters, certificates of employment and verification letters from templates
- Coordinate between clients and partners so that questions get answered by the right party, quickly
Records and systems
- Maintain trackers and registers in Google Sheets, Notion and Odoo
- Reconcile our records against clients' and partners', and clear the differences
- Keep our Google Drive and Notion filing tidy and to convention
YOUR FIRST SIX MONTHS
We are not going to hand you nine countries on day one. The plan is deliberate:
- Months 1 and 2 — shadow a full payroll cycle end to end. Take over filing, document chasing and payslip distribution.
- Months 3 and 4 — run the reminder and follow-up calendar yourself. Prepare payroll registers and invoices for review.
- Months 5 and 6 — own the administrative side of the cycle, with the team reviewing by exception rather than checking everything.
Beyond that, the natural direction is deeper ownership of specific countries, and involvement in work-pass applications, benefits and client onboarding. Where you go depends on what you turn out to be good at.
WHAT WE ARE LOOKING FOR
Essential
- One to two years in HR administration, payroll, accounts, or another coordination-heavy support role
- A track record of hitting fixed deadlines without being reminded
- Genuine care with numbers — you notice when a total looks wrong, and you check rather than assume
- Clear, polite written English. You will be emailing partners across the countries and you need to be understood first time
- Confident in Google Sheets or Excel — filters, sorting, lookups, and not put off by a formula
- Willing to chase people politely and persistently until you have what you need
- Able to work independently from home, with a reliable internet connection and a quiet place to take calls
- Legally entitled to work in Malaysia
Helpful, but we can teach it
- Familiarity with Malaysian statutory contributions — EPF, SOCSO, EIS, PCB
- Experience with an HRIS, or with Odoo or a similar accounting system
- Any exposure to regional or multi-country work
- Mandarin alongside English
This role is probably not for you if
- You want the same predictable rhythm every day. Month-end is busy, and the middle of the month is the pressure point
- You would rather wait to be told than notice something is missing and go after it
- You are uncomfortable saying "I do not know" or "I think I made a mistake" quickly and plainly
HOW WE WORK
We are writing our procedures down as we go. You will be handed a written process for each area you take on, and you will be expected to improve it as you learn where it is wrong. Nobody here is precious about their documents.
GROWING HERE
Within a year you will have a breadth that is hard to get this early anywhere else. From there the path is owning countries end to end, then a specialism or helping run the team as it grows. We back that with a close support by the GM, paid HRDF-claimable training, and a salary review at six and twelve months based on what you have taken over rather than time served. We are small, so there is no formal career framework here — you grow by taking work on and running it well, which is faster than a ladder if that suits you.
THE DETAILS
- Location — fully remote within Malaysia. Occasional in-person meetings in the Klang Valley.
- Hours — standard Malaysian business hours, aligned to Asia-Pacific time zones.
- Contract — full time and permanent, following a three-month probation.
- Salary — RM 3,000 to RM 4,200 per month, depending on experience.
- Reports to — GM, Cosmos HR Consulting Sdn. Bhd.
- Start — as soon as you are available.
