Town Vets Animal Clinic
We are an independent small-animal veterinary clinic looking for a full-time receptionist to join our team of 15.
Reception is a central part of the clinic. You will usually be the first person our clients speak to, and will help with appointments, questions and the day-to-day coordination between clients and the veterinary team.
Veterinary reception can be busy and, at times, emotionally demanding. It suits someone who enjoys working with people and animals, communicates well, and can remain calm and organized when several things are happening at once.
What we are looking for
Strong spoken and written English
Warm and professional communication
Good organizational skills and attention to detail
Able to prioritize and think on your feet in a busy environment
Comfortable working closely with veterinarians, nurses and other reception staff
Computer literate and willing to learn new systems
Previous customer service or client-facing experience preferred
Mandarin would be useful, but is not essential
Previous veterinary experience is not necessary. Training will be provided. Over time, you will need to become familiar with commonly used veterinary terminology, understand the different types of appointments we offer, and recognize when a client's concern needs to be brought to the veterinary team more urgently.
The role
Your responsibilities will include:
Handling calls, messages, emails and client enquiries
Arranging appointments and helping clients book the appropriate type of visit
Welcoming clients and their pets to the clinic
Managing waiting times and keeping clients updated when we are busy
Processing payments and completing client paperwork
Maintaining accurate client and patient records
Coordinating with the veterinary and nursing teams throughout the day
Handling difficult or sensitive situations calmly and tactfully
General reception and administrative duties needed to keep the clinic running smoothly
Working hours
5-day work week, including Saturdays
44 hours per week, inclusive of break times
No Sundays, Public Holidays or overnight duties.
