Job Responsibilities/Duties:

Purchasing & Procurement

1. Develop and manage purchasing plans based on sales demand, inventory requirements and business needs.

2. Review purchase requirements and determine appropriate purchasing quantities in coordination with the Inventory/Stock Manager.

3. Source products from existing and potential suppliers.

4. Obtain and compare supplier quotations.

5. Negotiate:

• Purchase prices
• Discounts
• Credit terms
• MOQ
• Delivery terms
• Rebates
• Promotional support
• Other commercial terms

6. Prepare and issue purchase orders in accordance with company approval procedures.

7. Follow up on outstanding purchase orders and expected delivery dates.

8. Monitor supplier lead times and ensure timely delivery.

9. Maintain accurate purchasing records and supplier information.

10. Ensure all purchases comply with approved purchasing policies and authority limits.

Supplier Management

1. Develop and maintain strong relationships with key suppliers.

2. Identify and evaluate new suppliers where required.

3. Conduct supplier price and performance reviews.

4. Monitor supplier performance in terms of:

• Price
• Quality
• Delivery
• Product availability
• Responsiveness
• Returns and warranty support

5. Negotiate improved commercial terms with key suppliers.

6. Develop alternative suppliers for critical products to reduce supply risk.

7. Resolve supplier-related issues involving pricing, delivery, quality and product availability.

8. Monitor supplier rebates, credit notes, claims and promotional support.

Product & Cost Management

1. Monitor supplier price changes and their impact on company margins.

2. Maintain updated purchase cost information.

3. Review purchasing prices regularly against market and competing supplier quotations.

4. Identify opportunities for purchasing cost reduction.

5. Evaluate alternative brands/products where commercially appropriate.

6. Review bulk purchasing opportunities while considering inventory requirements.

7. Work with management on product range expansion and new product sourcing.

8. Recommend discontinuation or replacement of products where commercially appropriate.

Purchasing Planning

1. Work closely with the Inventory/Stock Manager to determine replenishment requirements.

2. Review sales trends and purchasing history.

3. Consider seasonal demand and promotional requirements.

4. Ensure adequate supply of fast-moving and critical products.

5. Plan purchasing lead times to minimize avoidable stock-outs.

6. Avoid unnecessary purchases that may create excessive inventory.
