Job Responsibilities:
Schedule & Calendar Management
- Manage the Director's calendar, appointments, and meetings.
- Coordinate meeting logistics, agendas, and invitations.
- Resolve scheduling conflicts proactively.
Communication & Correspondence
- Screen and respond to emails, calls, and correspondence.
- Draft, proofread, and prepare letters, memos, and reports.
- Manage incoming and outgoing mail and confidential documents.
- Act as the main point of contact for internal and external parties.
Personal & Executive Support
- Manage personal appointments, travel, and correspondence.
- Coordinate personal tasks and errands.
- Handle confidential information with discretion.
Liaison & Stakeholder Management
- Serve as liaison between the Director and staff, clients, suppliers, and stakeholders.
- Follow up on action items between the Director and departments.
- Build and maintain positive relationships with key contacts.
Travel & Event Coordination
- Plan domestic and international travel, including flights, hotels, and itineraries.
- Prepare travel schedules and expense reports.
- Organize executive meetings and company events.
Administrative Support
- Maintain organized filing systems (physical and digital).
- Prepare and manage confidential reports, contracts, and agreements.
- Track pending matters and ensure timely completion.
Ad-Hoc Duties
- Handle other tasks and responsibilities as assigned by the Director.
Job Requirements:
· Good communication skills in Mandarin and English (both written and spoken)
· At least 2 working experiences.
