Job Summary
We are seeking a proactive, highly organised Part-Time Administrative Executive Assistant to provide comprehensive administrative and operational support to the leadership team, ensuring efficient daily operations and contributing to strategic initiatives.
Responsibilities
Manage and coordinate executive calendars, appointments, meetings, and events to optimise time management and operational efficiency
Arrange meeting invitations, prepare agendas, and coordinate schedules with internal and external stakeholders to facilitate seamless communication
Monitor deadlines, reminders, and follow-ups to ensure timely completion of key priorities
Provide comprehensive administrative support to leadership across daily operations, projects, and business initiatives
Prepare accurate and professional correspondence, reports, presentations, and business documents to support decision-making
Maintain organised records, documentation, and filing systems while safeguarding confidentiality
Conduct research and gather relevant information to prepare concise reports and briefing materials that support strategic planning
Compile and analyse data from multiple sources to enable informed discussions and operational planning
Coordinate with internal departments and external stakeholders to ensure smooth day-to-day operations
Execute ad hoc administrative assignments and special projects as required
Identify and implement opportunities to improve administrative processes and enhance operational efficiency
Preferred competencies and qualifications
Diploma or higher qualification preferred
Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
Strong organisational and time management skills to manage multiple priorities in a fast-paced environment
Ability to work independently with minimal supervision, demonstrating initiative, accountability, and sound judgement
Excellent verbal and written communication skills to interact professionally with stakeholders at all levels
Strong planning, coordination, and follow-through abilities to ensure accurate and timely task completion
High level of discretion when handling confidential information
