Responsibilities

 

HR INTERN – JOB DESCRIPTION

1. Position Details

  • Position: HR Intern 
  • Department: Human Resources 
  • Reports To: HR Manager / HR Executive 
  • Employment Type: Internship 

2. Job Summary

The HR Intern will assist the Human Resources Department in daily HR operations and administrative activities. The intern will gain practical exposure to recruitment, employee records, attendance, payroll support, employee engagement, and general HR administration.

3. Key Responsibilities

A. HR Administration

  • Assist in maintaining and updating employee personal files and HR records. 
  • Assist with preparation of HR letters, forms, notices, and other documents. 
  • Assist in filing and maintaining HR documents in an organised and confidential manner. 
  • Assist with data entry and updating HR information in the HR system or spreadsheets. 
  • Support general HR administrative tasks as assigned. 

B. Recruitment & Onboarding

  • Assist with posting job vacancies on relevant recruitment platforms. 
  • Screen and shortlist candidates based on job requirements. 
  • Coordinate interview arrangements with candidates and hiring managers. 
  • Assist with preparation of interview and recruitment documents. 
  • Assist with new employee onboarding and documentation. 
  • Follow up on required employee documents. 

C. Attendance & Leave Administration

  • Assist in monitoring employee attendance, lateness, absenteeism, and leave records. 
  • Assist in checking and updating attendance and leave information. 
  • Follow up with departments regarding attendance or leave discrepancies. 
  • Assist with monthly attendance reporting. 

D. Payroll Support

  • Assist the HR team in collecting and checking payroll-related information. 
  • Assist in verifying attendance, overtime, allowances, deductions, and leave information. 
  • Maintain confidentiality of all payroll and employee information. 
  • Support the HR team with monthly payroll preparation when required. 

E. Employee Relations & Engagement

  • Assist in coordinating employee activities and engagement programmes. 
  • Assist with employee communication and distribution of HR notices. 
  • Support the HR team in handling general employee enquiries. 
  • Assist in preparing HR reports and employee-related documentation. 

F. HR Compliance

  • Assist the HR Department in maintaining proper HR records and documentation. 
  • Support the preparation of documents required for statutory or government-related matters. 
  • Maintain confidentiality of employee and company information at all times. 
  • Follow company HR policies, procedures, and workplace rules. 

4. Other Duties

  • Perform other HR-related duties and projects assigned by the HR Manager or supervisor. 
  • Provide administrative support to the HR Department when required. 
  • Work cooperatively with other departments to support daily HR operations. 

5. Requirements
