Role Description The Administrative Assistant role at ForBis is a part-time, on-site position based in Singapore. The role involves managing day-to-day administrative and clerical tasks, such as handling correspondence, organizing files and records, scheduling meetings and appointments, and maintaining office supplies. The Administrative Assistant will support executives and team members by preparing documents, coordinating calendars, and assisting with basic reporting or data entry. This position also includes answering phone calls, greeting visitors, and ensuring professional and courteous front-office interactions. The role requires close collaboration with various internal teams to support smooth office operations and client service delivery.

Qualifications

  • Strong Administrative Assistance and Clerical Skills to manage scheduling, documentation, filing, and general office operations.
  • Professional Phone Etiquette and Communication skills to handle calls, emails, and in-person inquiries in a clear and respectful manner.
  • Experience in Executive Administrative Assistance, including calendar management, meeting coordination, and preparing materials for leadership.
  • Proficiency with common office software (e.g., MS Office or Google Workspace) and basic data entry or record-keeping tools.
  • Excellent organizational skills, attention to detail, and ability to manage multiple tasks in a fast-paced environment.
  • Ability to work collaboratively with diverse teams and maintain a high level of confidentiality and professionalism.
  • Prior experience in a professional services or corporate environment is an advantage.
  • Relevant certification or diploma in business administration, office management, or a related field is beneficial.
