Job Overview
We are looking for a responsible, proactive and highly organised Personal Assistant to the Director to provide day-to-day administrative and coordination support.
This role is mainly focused on tracking tasks, managing timelines, coordinating schedules, following up on outstanding matters and keeping the Director updated on the status of ongoing work.
The ideal candidate should be able to work independently, respond quickly to requests and ensure that important tasks and deadlines are properly followed up.
Key Responsibilities
- Assist the Director in managing and organising daily work schedules, appointments and meetings.
- Maintain and update a task and timeline tracking system for ongoing projects and assignments.
- Follow up with relevant staff, suppliers, customers or external parties on pending tasks and provide status updates to the Director.
- Monitor deadlines and remind the Director of important appointments, meetings, follow-ups and outstanding matters.
- Prepare daily/weekly updates on the progress of tasks and matters assigned by the Director.
- Coordinate meetings, appointments, travel arrangements and other schedules when required.
- Assist in organising and prioritising the Director's daily workload.
- Ensure instructions and tasks given by the Director are properly recorded, followed up and completed.
- Act as a communication and coordination point between the Director and relevant staff or business contacts when required.
- Handle administrative work, documentation, data tracking and other coordination duties.
- Provide fast responses to the Director's messages and requests, especially when urgent matters arise.
- Handle other ad hoc assignments as requested by the Director.
- Occasionally travel to Singapore with or on behalf of the Director for meetings and business-related matters.
- Be available to respond to urgent work-related matters outside normal working hours when necessary.
Requirements
- Previous experience as a Personal Assistant, Executive Assistant, Administrative Assistant, Coordinator or similar role is preferred.
- Strong organisational and time-management skills.
- Good at tracking multiple tasks, deadlines and follow-ups.
- Able to prioritise urgent matters and work under pressure.
- Fast response and good sense of urgency are essential.
- Good communication skills in English and Mandarin are preferred.
- Comfortable communicating with different levels of staff and external parties.
- Good working knowledge of Microsoft Office / Google Workspace, especially Excel or Google Sheets.
- Mature, responsible, discreet and trustworthy.
- Able to work independently with minimal supervision.
- Willing to travel to Singapore when required.
- Candidates who are comfortable with occasional work-related matters outside normal working hours will be preferred.
- Possess a valid passport and be able to travel between Malaysia and Singapore when required.

The Director should not need to repeatedly ask, "What's the status?" You should already know the status and be able to provide a clear update.
