Responsibilities

Job Summary

The IT Technician cum Language Technology Centre (LTC) Assistant reports directly to the Head of IT and Academic Director. He/she is responsible for the general IT maintenance of all technical equipment and software. The role involves providing resolutions for identified technical problems and handling general tasks at all ELS centers and HQ office in accordance with ELS Centre's policies and procedures. The LTC Assistant must be a team player, pro-active and responsible for the duties assigned. All duties must be carried out accurately, efficiently and timely.

Job Duties IT Technician:

Daily Task list for IT Technician (on-site at centre)

  • Check and make sure all admin PCs, printers and internet are working.
  • Turn on and login to Placement Test PCs, check and make sure they are functioning properly (internet, headset).
  • Turn on and login to PC, TV/Smartboard in all Classrooms, check and make sure all equipment are working properly (internet, sound, log off after checking).
  • Turn on and login to PC in all LiveSpeak rooms, check TVs, Webcam, Mic/Speakerphone (charged daily), internet (wired), Zoom software (updated) are working properly and up to date.
  • Turn on and check all PCs, printers and internet are working properly at the faculty.
  • Turn on and check LTC PCs and make sure they are working properly (internet, browser settings, camera, headset).
  • Check hybrid student's PC (webcam, headset, internet) is working properly. Assigned the PCs which are backing to the Wall to avoid the disruption.
  • Test CAS5 is accessible from admin and faculty PCs.
  • Test admin/student WiFi Access points are all functioning properly.
  • Test all Xiaomi CCTV cameras are viewable from Apps/PCs and recording properly.
  • Test and make sure PABX, telephones and phone extensions are functioning properly.
  • Assist staff, teachers and students in any IT related issues and issues related to SunagoLearn platform (MyELT, Say It Right recording, SSP Final Test...).
  • Record down the IT technical problems in Google sheet (share with centre manager and Head of IT) for future reference/troubleshooting purposes.
  • Turn off all PCs/Monitors/TVs/SmartBoards at the end of the day. Rearrange the chairs in the LTC, LiveSpeak rooms and classrooms.
  • Assist in simple office maintenance tasks (changing light bulbs, replacing faulty electrical plugs...).
  • Assist to oversee the security and safety at ELS UPM. Report to Admin office for any irregularities found (Eg, strangers...).

Weekly Task list for IT Technician

  • Weekly Friday afternoon: check LTC PCs for Windows Update, AV updates, Malwarebytes/PC Manager scan and update (Weekly).
  • Check CCTV DVR unit to make sure video recordings can be played back and video records of at least 2 weeks are available. Videos can be extracted and played externally when required.
  • Check Xiaomi CCTV cameras recording to the SD card and records of at least 2 weeks are stored properly. Check external recordings to the PCs are working properly (UPM frontdesk and strong room).
  • Faculties PCs maintenance (Check CPTs, check illegal program downloads...). Maintenance check for full time teachers' laptop.
  • Classrooms PC, TV/SmartBoard maintenance (Weekly). Organise power extensions, power cables and network cables in all classrooms.
  • Check and make sure all the PC hardware (Screen, Headset, Mouse, keyboard) and software (Safe Exam Browser, SEB files) are working properly for the Final SSP Online test in all the LTC PCs during the Readiness Check 1 and 2 (3rd Week).
  • Check and make sure staff files and folders are backup properly to their Google Drive for Desktop (Sync), and assist to check no P&C files are shared outside ELS.

Monthly Task list for IT Technicians

  • Assist to prepare all the IT equipment (laptop speaker, TVs, projector) needed for monthly graduation at LC Admin PCs maintenance.
  • Update Centre's IT Inventory List and Network Documentation/Topology. Use Vendor's APP/AI Tools to check for abnormalities in the network.
  • Look into updating the firmware updates for Router/Switches/SpeakerPhone.
  • Check LTC PCs's locks are in place and secure.
  • Maintain user codes for staff/teachers for MFPs at centres.
  • Reset Internet Modem, Routers and Gateway, Network switches, WiFi APs to refresh and make sure all are working properly after reset.
  • Check and re-crimp network cable with RJ45 jack when these jacks become loose/faulty.
  • Assist to edit video for Online Graduation.

Other tasks:

  • Assist in events organize by centres or HQ (eg taking photos, videos recording, combine Graduation, online graduation, ELS Award, ICAS events).
  • Assist in other maintenance tasks as and when required (other centres or HQ).
  • Guide new staff/teachers on email, google drive, SunagoLearn platform, Zoom.
  • Getting products/equipment replacement quotations (3 quotations of similar items) and prepare purchase requisition Form (PRF) for approval.
  • Assist in checking/evaluating/testing for new software/hardware for centres from different vendors (headsets, new PCs, new laptops, CCTVs).
  • Backup data for outgoing staff and retrieving files/folders from old backup when requested.
  • Setup PC/laptop for new staff.
  • Bring items to repair, warranty claim, buy new IT items at vendor's office or service centres.
  • Remote Access troubleshooting (via Anydesk/Teamviewer) for all centres, online WFH teachers (CPT installation/uninstallation, broadband troubleshooting, WiFi, Webcam, Audio/Microphone, Zoom virtual background).
  • Liaising with vendor/supplier on troubleshooting or product warranty claim (IP Phones, Acer, Dell, Lenovo, Xiaomi CCTV, HikVision CCTV, Door Access Controller).
  • Liaising with ISP to resolve any broadband internet issues at centres.
  • Attend product training or seminars provided by vendors (Ruijie, Dell, Microsoft...) to learn about the latest products in cloud, firewall, cybersecurity etc. This is part of the IT Technician's professional development.
  • Attend online course to improve the knowledge on IT Support / Maintenance / Security / CyberThreat / Ransomware / AI / Edtech.
  • Assist to setup the computer network/system infrastructure during renovation at other centres/HQ.

LTC Assistant:

  • Be familiar with all LTC materials and facilities.
  • Be familiar with LTC policies and procedures and ensure that policies and procedures are carried out accordingly.
  • Able to handle LTC duties in a confident and professional manner.
  • Able to recommend LTC materials to students according to their needs.
  • Assist in organizing and coordinating student activities and graduation.
  • Be able to coordinate 'Livespeak' programme and ensure smooth run of the programme.
  • Able to assist on technical matters for new students orientation.
  • Responsible for all materials and equipment in the LTC. Ensure that nothing is missing and everything is in good working order.
  • Able to put students at ease and courteous and helpful when carrying our duties.
  • Carry out stock inventory on all LTC materials and equipment at least once a session.
  • Report faulty equipment to Head of IT/AD/CD. Record equipment before taking it out for repair. Ensure that equipment returned is in good working condition.
  • Assist in basic maintenance and cleanliness of the LTC area and classrooms.
  • Troubleshoot on computer problems in LTC. Assist technical personnel and administrative assistant when necessary.
  • Maintain the computers and servers by making sure that they are clean and any unwanted files are deleted.
  • Ensure that windows, equipment and doors are properly locked up at the end of the day.
  • Be familiar with all the courses offered at ELS Language Centres and able to assist students in a positive and convincing manner.
  • Carry out any other duties when assigned.

Pay: RM2,500.00 - RM3,000.00 per month
