TOR Summary
Working closely with CSB’s Finance/HR Manager, the Finance Admin Assistant is a support role in carrying out CSB/JOCC administration and internal control functions, contributing to and upholding efficiency and transparency across all CSB projects.
Responsibilities
- Procurement of office supplies and equipment in line with CSB’s policies and procedures;
- Monitoring expenditure related to office administration and procurement to ensure cost efficiency;
- Preparing quotations, purchase orders, and supporting documentation in accordance with CSB’s procedures;
- Maintaining and monitoring CSB/JOCC inventory, including placing orders, goods receiving, and other supply inventory duties across CSB/JOCC operations;
- Sourcing credible and reliable suppliers and maintaining good supplier relationships;
- Overseeing the maintenance of office facilities, equipment, and assets;
- Ensuring compliance with organizational policies, audit requirements, and internal controls in all administrative processes;
- Assisting the Executive Director with relevant duties when required;
- Maintaining general office files, including Learning Centre files, JOCC files, and other files related to CSB’s operations;
- Providing support to the Finance Manager in bookkeeping, data entry, and report compilation.
Key Requirements
- Tertiary qualifications in Accounting or Finance;
- At least one (1) year of experience in a similar finance support role (experience in the non-profit sector will be an advantage);
- Previous experience using SQL Accounting Software is highly favourable;
- Good written and verbal communication skills with strong administrative competency;
- Open, cooperative, proactive, and flexible approach to working with and supporting others.
Pay: RM1,800.00 per month
