Perform Administrative Tasks
Responding to email and phone messages, assisting with customer requests and questions, coordinating meetings, compiling meeting materials and documents, creating presentations, booking travel and providing executive staff with support as needed.
Type and word-process various documents and electronic information.
Manages outgoing post and records data on special deliveries.
Carry out administrative duties such as filling, typing, copying, binding, scanning etc.
Provide Job-Specific Operations Support
Create financial and statistical tools and reports using spreadsheets.
Manage, organize, and update relevant data using database applications.
Assist in the preparation of regularly scheduled reports.
Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, evaluating new equipment and techniques.
Analyze and interpret financial statistics and other data and produce relevant reports.
Data entry for e-procurement system.
Develop and Maintain Filing System
Create and maintain a filing system for both paper and electronic documents.
Office Policies and Procedures
Adhere to procedures relating to the proper use and care of equipment and materials for which the role has responsibility.
Adhere to stated policies and procedures relating to health and safety and quality management.
Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures.
Greet and Service Office Visitors
Serves as the face of the office. They are responsible for greeting office visitors and creating a great first impression.
