About The Job

Wingspan International (M) Sdn Bhd is an established interior design & build company specialising in retail and commercial spaces. Since 1995, we have delivered more than 1,000 projects for leading local and international brands across Malaysia and overseas.

We are looking for a proactive, organised and results-driven Project Executive to join our team. You will be involved throughout the entire project lifecycle, from planning, budgeting and site coordination to construction, quality control and final handover. This role is ideal for someone with strong technical knowledge, problem-solving abilities and the confidence to coordinate multiple stakeholders in a fast-paced environment.

What You’ll Be Doing

• Plan and coordinate retail and commercial interior fit-out projects from start to final handover
• Develop project schedules, work programmes and site implementation plans
• Coordinate with clients, designers, consultants, mall management, suppliers and subcontractors
• Monitor site progress to ensure that projects are completed according to the approved design, budget, quality standards and timeline
• Conduct regular site visits, progress meetings and inspections
• Identify site issues and coordinate timely, practical solutions
• Provide clients and internal teams with clear and consistent project updates
• Manage the project handover process, including inspections and defect rectification

Key Responsibilities

• Review construction drawings, quotations, specifications and mall/building requirements before work begins
• Prepare project schedules, site reports, progress updates and other relevant documentation
• Coordinate site access, work permits, safety briefings and other requirements with mall/building management
• Plan and coordinate labour, materials, deliveries, equipment and subcontractor activities
• Ensure all work is carried out according to approved drawings, specifications and relevant safety requirements
• Monitor project costs, material usage, variation orders (VO) and subcontractor claims
• Obtain and compare quotations from suppliers and subcontractors when required
• Track procurement and delivery schedules to prevent project delays
• Inspect workmanship and materials to ensure they meet the required quality standards
• Identify discrepancies between drawings and site conditions and communicate them to the relevant parties
• Manage variation orders (VO) and ensure that additional work is properly documented and approved
• Maintain accurate and organised records of drawings, approvals, permits, reports and project correspondence
• Coordinate testing, inspections, defect rectification and final project handover
• Support multiple projects simultaneously while meeting agreed deadlines

• Willingness to travel and work outside regular hours when required by project schedules

Requirements and Qualifications

• Diploma or degree in Construction Management, Project Management, Architecture, Civil Engineering or a related discipline
• Minimum 3 years of relevant experience in interior fit-out, renovation or construction project coordination
• Experience managing retail or commercial interior projects will be an advantage
• Strong knowledge of interior construction methods, materials and finishes
• Ability to read and interpret architectural, interior design and technical drawings
• Proficiency in Microsoft Office and relevant project management softwares
• Familiarity with project budgeting, procurement and subcontractor coordination
• Knowledge of site safety practices, authority requirements and mall/building management procedures
• Strong communication skills in English are required. Proficiency in Mandarin will be considered an added advantage
• Must possess your own transport
• Willing to travel to project sites when required
