We are looking for a responsible and detail-oriented HR & Payroll Executive to join our Human Resources team. The successful candidate will manage day-to-day HR administration, attendance, payroll preparation, employee records and statutory-related payroll matters for our local staff.
This is an important role supporting a workforce of 1,000+ employees, and the candidate must be comfortable working with confidential employee information, high-volume payroll data and strict monthly deadlines.
Key Responsibilities
HR Operations
· Maintain accurate employee records and personnel files.
· Prepare employment-related letters and HR documents.
· Manage employee onboarding, confirmation, transfer and resignation processes.
· Maintain leave and attendance records.
· Handle employee enquiries and HR administrative matters.
· Ensure HR documentation is complete, accurate and properly filed.
Payroll
· Prepare monthly payroll for local employees.
· Verify attendance, overtime, leave, allowances, claims and deductions.
· Check new joiners, resignations, salary adjustments and employee movements.
· Prepare payroll reports and conduct payroll reconciliation.
· Coordinate payroll approval and salary payment processes.
· Prepare and maintain payslip records.
· Support statutory payroll submissions, including EPF, SOCSO, EIS and PCB, as applicable.
· Investigate and resolve payroll discrepancies promptly.
HR Compliance & Reporting
· Maintain HR and payroll records for audit purposes.
· Follow company HR policies, SOPs and payroll controls.
· Support internal HR compliance audits.
· Prepare monthly HR and payroll reports.
· Maintain confidentiality of employee and payroll information.
· Keep up to date with applicable Malaysian employment and payroll requirements.
Requirements
· Diploma or Bachelor’s Degree in Human Resources, Accounting, Business Administration or a related field.
· Minimum 2–4 years of relevant HR and payroll experience.
· Experience handling monthly payroll for a medium-to-large workforce is preferred.
· Good knowledge of Malaysian payroll practices and statutory contributions.
· Strong Microsoft Excel skills.
· Experience with HRIS/payroll systems is an advantage.
· Good written and verbal communication skills.
· Strong attention to detail and numerical accuracy.
· Able to work independently and meet strict payroll cut-off deadlines.
· High level of integrity and confidentiality.
