Job purpose
The Administrative Assistant is responsible for providing comprehensive administrative, operational, and coordination support for the Talent Engagement Unit (TEU) and all TEU programmes in accordance with the TEU operational. The position requires a highly organised, proactive, and detail oriented individual with strong administrative, reporting, communication, and stakeholder coordination skills.
Key Responsibilities
- Provide administrative and operational support for all TEU programmes and activities.
- Maintain proper filing systems, operational records, databases, and student documentation.
- Coordinate meetings, briefings, sessions, schedules, and programme arrangements.
- Coordinate student assignment and placement processes for Scholarly Hours students.
- Maintain and update scholarly student records, attendance, schedules, and tracking systems.
- Monitor punch card attendance records, logbooks, monitoring forms, and monthly reports.
- Ensure monitoring forms are verified and signed by the respective PICs / Supervisors.
- Consolidate monthly attendance reports and submit verified reports to TEU Management.
- Follow up with departments, PICs, and students regarding attendance discrepancies, incomplete submissions, and non-compliance matters.
- Assist in preparing reminder notices, warning letters, and enforcement documentation where required.
- Assist in coordinating career engagement activities, workshops, employer sessions, and career-related programmes.
- Maintain records of student participation, registration, and attendance.
- Support preparation of promotional materials, event coordination, and reporting activities.
- Maintain and update TEU databases, CRM records, attendance records, and monitoring systems.
- Support data reconciliation, validation, and verification exercises.
- Prepare weekly and monthly operational reports for management review.
- Ensure proper documentation for audit, monitoring, compliance, and governance purposes.
- Liaise professionally with students, faculties, departments, supervisors, and external stakeholders regarding TEU matters.
- Ensure timely dissemination of official announcements, schedules, updates, and operational information.
- Handle enquiries professionally and provide administrative support where required.
- Support communication and coordination between TEU and operational departments.
Requirements
- Diploma or Bachelor’s Degree in Business Administration, Office Management, Human Resource Management, Education, Management or a related field.
- Minimum 1–2 years of relevant administrative experience, preferably within a higher education or education environment.
- Fresh graduates with strong administrative and coordination skills are encouraged to apply.
- Proficient in Microsoft Office, particularly Microsoft Excel, Word and PowerPoint.
- Good in data entry, record keeping, documentation, reporting and database management.
- Strong organisational, coordination and follow-up skills with good attention to detail.
- Good written and verbal communication skills with the ability to liaise professionally with students, faculty members, departments and external stakeholders.
- Able to work independently, manage multiple tasks and meet deadlines.
