We are currently looking for an Asia Operation Coordinator to join our Kuala Lumpur team. Key Responsibilities:
Tour Operations & Coordination
- Manage end-to-end tour operations from confirmation (“go-ahead”) through to successful tour completion.
- Coordinate hotels, transportation, sightseeing, meals, and other travel services according to operational requirements.
- Ensure all tour arrangements are accurately processed in internal systems and comply with company procedures.
- Work closely with overseas offices, suppliers, and internal teams across different time zones to ensure smooth tour operations.
- Monitor tour progress and proactively address operational issues to ensure seamless service delivery.
Financial & Cost Control
- Prepare draft invoices and review final costing sheets to ensure accuracy.
- Issue additional invoices and credit notes to agents when required.
- Verify supplier invoices and coordinate payment processing.
- Monitor operational costs and identify potential errors to minimize financial impact.
Communication & Issue Resolution
- Handle tour amendments, special requests, and urgent operational matters promptly and professionally.
- Investigate tour reports, customer feedback, complaints, and post-tour issues, including compensation cases where required.
- Liaise with clients, suppliers, overseas offices, and internal stakeholders to provide practical and timely solutions.
- Maintain clear and professional communication throughout the tour operation process.
Quality Control & Administration
- Record relevant operational cases in the Quality Control Log for monitoring and continuous improvement.
- Maintain accurate operational records and documentation.
- Collaborate closely with Quotation, Sales, and other Operations teams to ensure smooth workflow and service delivery.
- Contribute to initiatives that improve operational efficiency and customer satisfaction.
Requirements:
Qualifications & Experience
- Diploma or Bachelor’s Degree in Tourism Management, Hospitality Management, Business Administration, or a related field.
- Fresh graduates with relevant internship or industry exposure are encouraged to apply.
- 1–3 years of experience in travel operations, hospitality, tourism, or a related field is an added advantage.
Skills
- Proficient in English and Mandarin, both written and spoken, as the role requires communication with Mandarin-speaking stakeholders.
- Strong communication and interpersonal skills.
- Excellent organizational skills with a high level of attention to detail.
- Ability to manage multiple priorities in a fast-paced and deadline-driven environment.
- Strong analytical, problem-solving, and decision-making skills.
- Ability to work effectively both independently and as part of a team.
