- Conduct basic office- and assistance activities
Principle activities
- Provide comprehensive administrative and secretarial support to the Head of Plant and management team.
- Manage calendars, appointments, meetings, and business schedules to ensure effective time management.
- Prepare, coordinate, and follow up on meeting agendas, minutes, presentations, and action items.
- Maintain confidentiality of sensitive business information and documentation.
- Coordinate communication and information flow between management, departments, customers, suppliers, and external partners.
- Welcome and support visitors, customers, auditors, and business guests, ensuring a positive and professional experience.
- Manage office facilities, meeting rooms, office equipment, and administrative resources to ensure smooth daily operations.
- Monitor and replenish office supplies, consumables, and other administrative materials in accordance with company policies.
- Process purchase requisitions (BANFs), purchase orders, and related administrative documentation when required.
- Organize and coordinate all travel-related activities, including flight bookings, accommodation, transportation, visa arrangements, travel itineraries, and expense claims.
- Plan and coordinate internal events, management meetings, workshops, customer visits, and company functions in compliance with company guidelines.
- Prepare, review, and maintain business documents, presentations, reports, correspondence, procedures, and records in both local and foreign languages (primarily English) as required
- Generate and maintain routine reports, statistics, and KPI summaries based on established guidelines.
- Perform general administrative duties, including document management, filing, archiving, mail handling, and telephone support.
- Ensure proper organization and maintenance of electronic and hard-copy records. (Archiving)
- Ensure administrative processes comply with company policies, procedures, and internal control requirements.
- Support audits and compliance reviews by providing required documentation and records.
- Track management action items and ensure timely follow-up and closure.
- Monitor deadlines and provide reminders for key activities and deliverables.
- Identify opportunities to improve administrative efficiency and implement best practices to support business operations.
