Job Responsibilities:
- Manage, organize, format, archive, and maintain project testing documents, including technical documents, contracts, drawings, and test reports
- Coordinate with the Document Controller (DC) to ensure timely submission and proper management of testing documentation
- Maintain and update testing documentation, knowledge base, test environment records, and testing data
- Receive, distribute, and track project documents to ensure timely communication with relevant stakeholders
- Coordinate testing resources, including test equipment, test environments, and related logistics
- Act as the communication bridge between the testing team and other departments, including engineering, design, and project teams
- Organize testing-related meetings, prepare meeting materials, and record meeting minutes
- Assist engineers in preparing technical documents, tender documents, presentations, testing procedures, and service proposals
- Support customer communication, consolidate customer requirements, and assist in improving testing services
- Provide translation support during meetings and communication between site engineers and customers
- Maintain the testing equipment inventory, warehouse records, equipment calibration, and annual inspection schedules
- Manage office supplies, departmental assets, and equipment records
- Assist in attendance tracking, performance data collection, and administrative reporting
- Perform other administrative and project-related duties assigned by management
Job Requirements:
- Diploma or above in Engineering, Business Administration, Project Management, or related field
- Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Adobe Illustrator (AI)
- Experience as a Document Controller or Project Administrator in MEP, construction, or testing projects is preferred
- Experience preparing technical documents, tender submissions, reports, and presentations is an advantage
- Familiar with document control procedures and project documentation management
- Experience managing testing equipment inventories and warehouse records is preferred
- Good communication, coordination, and organizational skills
- Able to communicate effectively in Mandarin and English; translation experience is an advantage
- Detail-oriented, responsible, and able to manage multiple tasks simultaneously
- Strong teamwork skills and customer service mindset
- Able to work independently and support fast-paced project environments
