Job Description
We are seeking a highly organised and detail-oriented Admin Assistant to support our daily administrative and project coordination activities.
The successful candidate will provide administrative support to our engineering and project teams involved in geotechnical engineering, structural monitoring, risk management and disaster mitigation solutions. This role involves maintaining project records, coordinating documentation, assisting with scheduling and supporting communication between office, field and project teams.
Key Responsibilities
- Provide day-to-day administrative support to the engineering and project teams.
- Prepare, organise and maintain project documents, reports, records and correspondence.
- Assist with the coordination and scheduling of site visits, inspections, meetings and project activities.
- Maintain accurate records of monitoring activities, site information, equipment and project documentation.
- Assist engineers and project teams with data entry, document preparation and administrative follow-up.
- Coordinate with clients, suppliers, subcontractors and internal teams regarding project-related administrative matters.
- Assist with preparing quotations, purchase orders, invoices and other supporting documents when required.
- Organise and maintain electronic and physical filing systems.
- Assist with updating project schedules, work status and administrative records.
- Support the preparation of project reports, presentations and other technical documentation.
- Assist with procurement and coordination of monitoring equipment, materials and office supplies.
- Handle general office administration, including correspondence, document scanning, filing and data entry.
- Support meetings, training sessions and company or project-related events.
- Ensure administrative records are accurate, complete and properly maintained.
- Perform other administrative and ad-hoc duties assigned by the management or project team.
Requirements
- Diploma or equivalent qualification in Business Administration, Engineering Administration or a related discipline.
- Previous experience in administration, project coordination or office support is preferred.
- Experience in engineering, construction, geotechnical, environmental or technical services will be an advantage.
- Good organisational and time management skills.
- Strong attention to detail and accuracy in handling documents and records.
- Proficient in Microsoft Office applications, particularly Word, Excel and PowerPoint.
- Good written and verbal communication skills in English.
- Able to communicate effectively with office staff, engineers, field personnel, clients and suppliers.
- Able to manage multiple tasks and meet deadlines in a project-based environment.
- Responsible, proactive and willing to learn.
- Able to work independently as well as collaboratively within a team.

Pay: $2,600.00 - $3,200.00 per month
