Role Overview
We are seeking a highly organized and results-driven Assistant Manager, Purchasing to oversee inspection operations and vehicle procurement activities.
The role will be responsible for managing inspection manpower, optimizing operational capacity, overseeing customer leads, driving vehicle purchase conversions, and ensuring smooth coordination across inspection, bidding, procurement, and transaction processes.
Key Responsibilities
Operational Excellence & Manpower Planning
- Strategize and manage daily manpower schedules for inbound and outbound inspectors across all channels to ensure full operational coverage.
- Promptly assign new leads to the appropriate inspectors and monitor real-time progress to meet turnaround time (TAT) and service level agreements (SLA).
- Review operational capacity during both low- and high-volume periods and optimize completion times based on available manpower and resources.
Sales Conversion & Customer Experience
- Oversee website-generated leads and ensure customers are clearly guided through the vehicle inspection process.
- Lead negotiations with customers following vehicle inspections to secure vehicle purchases and achieve monthly procurement targets.
- Conduct proactive follow-ups with pending customers to drive deal confirmation or participation in bidding sessions.
Post-Bidding & Transaction Coordination
- Manage post-bidding communication with customers and facilitate offer acceptance or rejection.
- Coordinate with relevant internal teams to secure appointment slots for successful deals and ensure a smooth ownership transfer and transaction process.
Reporting & Quality Assurance
- Manage weekly reporting and ensure the accuracy and completeness of inspection data and reports.
- Support the valuation team by providing timely vehicle value estimations to facilitate customer decision-making and improve conversion rates.
- Monitor operational and inspection performance to ensure quality standards are consistently maintained.
Requirements
- Minimum 5 years of experience in automotive procurement, sales management, or branch operations.
- Proven experience managing large teams of inspectors or frontline staff in a fast-paced environment.
- Strong negotiation, persuasion, and deal-closing skills.
- Strong ability to monitor operational metrics and manage manpower scheduling.
- Proficient in preparing and maintaining performance reports and operational data.
- Excellent communication and interpersonal skills with the ability to manage internal and external stakeholders.
- Strong problem-solving, multitasking, and decision-making abilities.
- Ability to work 6 days per week, including weekends, in a retail or branch-based environment.
